Our Global Facilities and Company are growing rapidly, and we are currently seeking a full-time, office-based Facilities Projects and Technology Administrator to join our team. This person will work on a global team and facilitate projects and support Facilities related systems that are instrumental to the company’s success. Responsibilities- Assist with project tracking processes, including creating spreadsheets, reports and working with vendors/contractors to collect information to report on project status.
- Reports to the Global Head of Facilities and also works closely with other Facilities Leadership on ongoing project administration duties, participating in regular meetings and creating/updating reports.
- Supports finance tracking tasks with project budgets and spend, keeps detailed records throughout lifespan of projects.
- Acts as system administrator for Facilities technology platforms
- Facilities Work Order/Asset Management System
- Space Planning and Lease Management System
- Utilities System data input and reporting
- Microsoft Teams and SharePoint administration
- Internal Training & Development system administration
- Supports multiple members of Facilities Leadership and coordinates information and trackers for multiple projects.
- Assists with creation and upkeep of online training content and training platform for Facilities team members.
- Provides assistance and follow up on finance, IT and other inter-department inquiries on project related budget and details.
- Participates in project and department meetings, takes minutes and updates trackers accordingly.
- Other projects and administrative duties as assigned by Facilities Management.
- High school diploma or equivalent.
- Experience in office support/administration function.
- Excellent written and verbal communication skills.
- Ability to proactively identify issues with systems and processes and develop solutions for process improvement.
- Intermediate/Advanced Excel skills and overall knowledge of Microsoft Office software preferred.
- Exceptional team work skills.
- Self-starter with ability to work independently.
