Position overview

The Facilities Coordinator supports day-to-day operations across all locations by monitoring and scheduling incoming maintenance tickets, tracking open work orders through resolution, and following up with vendors and Store Leaders to ensure timely completion. This role also manages parts and supply ordering, maintains accurate records of vendor contacts, service histories, warranties, and preventive maintenance schedules, and supports range downtime coordination with store operations.

Additional responsibilities include reviewing vendor invoices for accuracy, flagging discrepancies, and providing general administrative and reporting support to the Facilities Manager.

Key responsibilities
  • Monitor incoming maintenance and repair tickets from store locations and schedule vendors in coordination with the Facilities Manager.
  • Track all open tickets through resolution and follow up with vendors or Store Leaders to ensure timely completion.
  • Order parts and supplies in coordination with the Facilities Manager while monitoring inventory levels and reordering as needed.
  • Maintain accurate records of vendor contacts, service histories, work orders, and warranties across all locations.
  • Assist the Facilities Manager in scheduling and tracking preventive maintenance activities.
  • Support coordination of range downtime scheduling by communicating planned maintenance windows to store operations.
  • Process and review vendor invoices for accuracy and flag discrepancies to the Facilities Manager.
  • Provide general administrative support to the Facilities Manager including reporting, data entry, and document management.
Desired skills & experience
  • High school diploma or equivalent; associate or bachelor's degree preferred
  • Strong organizational skills with high attention to detail
  • Effective written and verbal communication skills
  • Proficiency in Microsoft Office; ability to learn facilities or work order management software
