Job Responsibilities
- Schedule and coordinate conferences, meetings, interviews, and appointments.
- Resolve scheduling conflicts and anticipate potential scheduling issues.
- Coordinate conference calls, teleconferences, and video conferencing.
- Perform advanced library searches using electronic resources.
- Act as liaison for coordination of physical moves and work with outside vendors.
- Plan and oversee special events, programs, conferences, and symposiums.
- Set up, operate, and maintain office equipment.
- Research information following defined paths and respond to a variety of requests.
- Serve as a resource on department policy and processes.
- Collaborate effectively with other departments, external agencies, and vendors.
- Troubleshoot problems and propose solutions.
- Use software applications to create and edit workbooks, documents, and presentations.
- Produce queries from databases and review data for variances.
- Produce well‑written notes, documents, or communications.
- Transcribe medical dictation and take meeting minutes, formatting them for final review.
- Compose and edit correspondence, reports, and proposals.
- Review, prepare, and submit grant materials to meet submission requirements.
- Type, format, and submit scientific manuscripts and journal reviews.
- Provide manuscript and reference support.
- Process forms, documents, and reports, including payroll information for the department.
- Compile data and perform data entry for departmental budget information and expense tracking.
- Assist with completion of HR forms and account reconciliation.
- Validate accuracy of information submitted and resolve discrepancies.
- Facilitate personnel processes in liaison with Human Resources Management Services.
- High school diploma or equivalent.
- 2+ years of work experience in a related job discipline.
