General Statement of Duties
This employee will perform a variety of clerical and administrative duties required by municipal government: coordinates and prepares agendas for various committees of City Council; staffs various committees of City Council, coordinates and prepares agendas for various records and/or transcribes minutes of council and committee meetings; and provides and maintains files of official correspondence. Performs related duties as required.
Minimum Qualifications (KSAs) Knowledge Of- English grammar, punctuation and sentence structure.
- Standard office methods and practices including filing, scheduling, recordation, and formatting information.
- Use and application of various word processing computer software.
- Type accurately.
- Communicate with the public tactfully, both orally and in writing.
- Compose business correspondence.
- Plan and organize work; estimate time requirements accurately; set appropriate priorities.
- Interpret complex information and instructions.
- Maintain confidentiality of information from files, memos and conversations.
- Establish and maintain effective work relationships with others.
- Stay calm under time pressure and other typing or unusual circumstances.
- Records minutes of committee meetings, conferences and hearings or transcribes from voice recordings; including writing summaries of meetings, conferences and hearings.
- Formats and types letters, reports, ordinances, resolutions and other documents, including, complex legal or technical documents.
- Types and proofreads, making corrections for grammar, spelling, punctuation and format errors; also edits material written by others.
- Files, retrieves information from files, and classifies information for filing, some or all which may be considered confidential; or restricted; decides methods and manner in which files are organized.
- Copies and collates information; distributes information to appropriate bodies.
- Maintains and updates various manual and computerized records and/or information.
- Tracks the status of various items under consideration by City Council.
- Attends various committee and City Council meetings; ensures that all material relating to council items and supporting documentation is present; forwards committee recommendations in council calendar.
- Maintains accounting records by receiving and posting financial source documents.
- Prepares and processes payment of vouchers, certifies funds for office expenses.
- Schedules meetings and hearings; maintains schedules; notifies others of scheduled commitments orally or in writing.
- Coordinates and prepares agendas for meetings and hearings.
- Provides information to the public either orally or in writing.
Education and Experience
Each applicant must have two years of paid advanced-level clerical or administrative assistant experience.
Military Education & Experience EvaluationMilitary education and experience may be substituted for college level course work at the lower and upper division baccalaureate and graduate levels and apprenticeship training at the vocational certificate level on a case by case basis based on the American Council on Education (ACE) Military Guide recommendations.
