Job DescriptionThe Administrative Assistant's main responsibility is to support the principal with both administrative and clerical duties as well as being a liaison between the school and parents/students. They will help resolve conflicts using the Matthew 18 principle. He or she must have experience working in high volume office areas. He or she must have the ability to meet all standards that apply to employees of Cincinnati Hills Christian Academy and the job expectations as outlined below.
Responsibilities(40 hours/week)
- Manage the school office and provide administrative assistance as requested by the principal or principal's assistant.
- Manage front desk attendants and assign tasks that are needed (daily attendance, lunch money, check ins and outs for events, etc.).
- Communications: general mailings to families and staff.
- Friday Forecast.
- Campus Connection.
- Morning Memo.
- Additional announcements to families and staff (i.e., texts, Facebook posts, etc.).
- Messages from parents to students, teachers, and staff.
- CHCA Budget
- Administer all school credit card purchases and complete the credit card statement monthly.
- Order all school Amazon items that are needed.
- Manage reimbursements.
- Track all school and individual staff's yearly budget.
- House System Program Leader
- Facilitate House meetings with student leaders and House meetings with staff leaders.
- Ensure the RCA House Point App is functioning and assist teachers, administrators, and parents on accessing it.
- Lead organization of all big House events and assure small House events are taking place quarterly.
- Facilitate placement of all students and staff into their House.
- Events:
Facilitate all‑school events ensuring proper communication, requests (BHS), calendar invites (ASOC), vendors, and after‑event reports were completed (i.e., Meet the Teacher Night, P/T Conferences, Parent Fellowships, etc.). - Maintain equipment in office, workroom, and front desk.
- Assist and train personnel in the operation of the office equipment (printers, laminators, etc.). Call for service on the machines in order to keep office equipment functioning.
- Create files for school operations (Facilities requests, ACRs, Attendance Records, Key Requests/Returns information, etc.).
- Order and organize office and teacher supply as requested through Office Depot.
- Maintain security by making sure that everyone entering signs in and wears a visitor badge as well as communicating with the daily safety officer.
- Answer or find answers for parents, faculty, staff, and students.
- Keep the personal working environment and workroom neat and clean.
- Serve as back up for the health clinic.
- Schedule volunteers and coordinate tasks.
- Schedule conferences for all students in fall of each year using Pick‑A‑Time.
- Administrative Cost Forms (ACRs):
Collect ACRs quarterly and review days off and corresponding minutes/activities recorded. - Attendance.
- Review daily attendance and assuring correct data is entered into Veracross.
- Send daily attendance to all staff.
- Contact for Fall and Spring picture days through Life Touch.
- Field Trips:
Complete field trip forms, coordinate bus transportation, process purchase orders, and check requests. - Substitutes:
Coordinate Substitutes and Assist with Interviews.- Record requests off and find coverage for teachers or aides on an as‑needed basis.
- Support in substitute interviews.
- Record feedback from teachers and aides regarding substitutes.
- Back to school revisions for website and communication to staff.
- Summer Homework.
- Yearly bible verses.
- Class and first day of school schedules.
- Armleder Guide (staff directory, parking spaces, Who's Who, etc.).
- Complete other assignments made by principal, principal's assistant, or Head of School's Office.
