Administrative Assistant
We are looking for a highly organized Administrative Assistant to provide day-to-day operational and administrative support within a higher education environment. This long-term contract position will play a central role in keeping schedules, communications, events, and office workflows running efficiently. The ideal candidate is resourceful and comfortable managing multiple priorities in an office setting.
Responsibilities:
- Coordinate complex calendars, schedule appointments, organize in-person and virtual meetings, and secure appropriate meeting spaces and online platforms.
- Arrange domestic travel plans, prepare and submit expense documentation, and handle reimbursement activities using Concur in accordance with established guidelines.
- Support faculty and staff involvement in conferences, presentations, and development opportunities by managing logistics and related administrative needs.
- Maintain vendor information, assist with onboarding new vendors into internal systems, and verify that required forms and records are complete and accurate.
- Keep the office operating effectively by monitoring supply levels, placing orders, and coordinating replenishment of equipment and toner as needed.
- Assist with onboarding for new employees and interns by preparing materials, coordinating orientation activities, and helping ensure access to necessary tools and resources.
- Organize departmental events, trainings, and meetings, including catering coordination, room preparation, and overall logistical support.
- Prepare documents, manage correspondence, perform data entry, and maintain organized filing and records systems.
- Process purchase-related requests, invoices, and other administrative transactions with close attention to accuracy, policy compliance, and timely follow-through.
- Work collaboratively with internal teams and external contacts while independently resolving routine administrative issues and identifying ways to improve efficiency.
