About the Role
We are seeking a dependable, organized, and customer-focused Administrative Assistant to provide day-to-day support to our team. This role is ideal for someone who enjoys keeping operations running smoothly, managing multiple priorities, and serving as a key point of contact for both internal staff and external customers.
The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced office environment.
Key Responsibilities- Provide administrative support to leadership and departmental staff.
- Answer and direct incoming phone calls, emails, and visitors in a professional manner.
- Manage calendars, schedule meetings, and coordinate conference rooms.
- Prepare reports, spreadsheets, correspondence, and presentations using Microsoft Office.
- Maintain organized electronic and paper filing systems.
- Perform accurate data entry and maintain confidential records.
- Order office supplies and coordinate with vendors as needed.
- Assist with onboarding paperwork and other HR-related administrative tasks.
- Coordinate travel arrangements, meeting logistics, and company events when needed.
- Process incoming and outgoing mail and packages.
- Assist with special projects and provide general office support as assigned.
- 2+ years of administrative, office support, receptionist, or customer service experience.
- Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks and meet deadlines.
- Professional demeanor with outstanding customer service skills.
- High level of discretion when handling confidential information.
- High school diploma or equivalent required;
Associate's degree preferred.
- Experience supporting multiple departments or executives.
- Experience with scheduling software, ERP systems, or CRM platforms.
- Knowledge of document management and office procedures.
- Strong organizational and multitasking abilities.
- Positive attitude and willingness to help wherever needed.
- Ability to work independently and collaboratively.
- Excellent problem-solving skills and attention to detail.
- Reliable, dependable, and eager to learn.
