General Statement Of Duties

This employee does a moderate amount of typing, filing, and proofreading; some employees perform a wide variety of clerical tasks at a basic level and others spend most of their time on just a few tasks; most of the work is planned and organized for the employee, but some of the work is done without close supervision. Performs related duties as required.

Minimum Qualifications (KSAs)

Knowledge of:
Standard office methods and practices. Basic business English, including spelling, punctuation, grammar, and sentence structure. Basic math. Basic computer functions. Microsoft Office software.

Skill to:
Type from clear copy, with a minimum of errors. Type final copies of reports, letters, tables, statistical, numerical data, and other materials from longhand or rough draft copy. File accurately and quickly using alphabetical, numerical, and chronological systems.

Ability to:
Write legibly. Speak effectively on the phone and in person. Proofread quickly and accurately for errors. Use English accurately (spelling, punctuation, and grammar.) Make corrections to grammar, spelling, punctuation, and format errors when typing. Establish and maintain effective working relationships. Follow oral and written instructions. Make sound judgments based on logical analysis. Use computer to send and receive electronic messages.

Use computer and office related software packages, such as Microsoft Office Word, Excel, Access, and PowerPoint. Use basic office equipment.

Examples of Work Performed

Utilizes a computer and computer software to complete work tasks. Types letters, reports, and other documents from rough typed or longhand drafts, make corrections for grammar, spelling, punctuation, and formatting errors. Types names, addresses, etc., onto standard form letters, mailing lists, other rosters, and forms (e.g., registration, tax, license forms).

Proofreads for typographical errors (e.g., transpositions, omissions, etc.) as well as errors in English usage, spelling, punctuation, and format. Operates a copy machine; copies and collates materials. Answers phone calls, connecting callers with individuals or taking messages/ Delivers or sends messages as needed by computer fax machine, or handwritten. Answers questions and complaints on the phone or in person (e.g., give directions, explain policies, rules).

Explains information, policies, fees, etc., to people in detail on the phone or in person. Greets visitors or agency employees; gives directions in person or takes visitors to various locations. Files and/or retrieves materials in alphabetic, numeric, or chronological files. Organizes or codes forms, records, or other items into groups or sequences. Receives, opens, time stamps, and routes incoming mail;

folds, addresses materials for mailing and routing. Copies numbers, codes, or other information from one form or record onto another. Accepts payment for tickets, permits, applications, services, etc. Performs or checks simple calculations (counting, addition, subtraction, multiplication, and division), counts money; makes change; uses a calculator. Makes telephone calls to get needed information. Performs essential duties for absent employees.

Required Education And Experience

Each applicant must have six months of clerical work experience or have completed a clerical training program and have a high school diploma or G.E.D.

OTHER REQUIREMENTS In some positions, must have a valid Driver's License. In some positions, must be willing to work irregular hours. MILITARY EDUCATION & EXPERIENCE EVALUATION Military education and experience may be substituted for college level course work at the lower and upper division baccalaureate and graduate levels and apprenticeship training at the vocational certificate level on a case by case basis based on the American Council on Education (ACE) Military Guide recommendations.

Probationary Period: Six months

Supervision Exercised: No formal supervisory responsibilities; may direct and check the work of less experienced personnel or instruct and train others in specific aspects of the work.
