The Private Event Coordinator plays a critical role in supporting learning delivery through the end-to-end coordination of private training events for client organizations. This role requires strong organizational skills, a project management mindset, meticulous documentation practices, and the ability to adapt workflows across varied client needs. Coordinators ensure a high-quality learner experience while supporting internal teams with accurate, timely logistical and administrative execution.
Responsibilities:Event Coordination & Execution
- Manage the full lifecycle of private training events, from initial intake through post-delivery wrap-up.
- Coordinate event requirements such as schedules, agendas, instructor support, materials, and client-specific customization.
- Maintain proactive ownership of events including self-assigning classes based on load-balancing guidelines.
- Maintain accurate, up-to-date documentation to ensure continuity across teams and coordination.
- Follow established workflows and contribute to process consistency across the team.
- Capture all relevant details and decisions in the event record, ensuring transparency and auditability.
- Participate in a collaborative claiming/assignment model to balance team capacity, event complexity, and delivery timelines.
- Manage personal workload to ensure events progress on schedule and stakeholders are informed of risks or blockers.
- Serve as a self-starter who anticipates needs and drives tasks to completion without waiting for direction.
- Use resources including documentation and management support to remain compliant.
- Work in collaboration with the sales representative to act as the primary operational contact for instructors, client partners, and internal delivery teams.
- Provide clear, proactive communication regarding scheduling, logistics, and expectations.
- Participate in routine coordination meetings (e.g., weekly syncs) and contribute updates.
- Work closely with various teams including labs, kits, training support and instructor management to ensure cost effectiveness and accurate delivery.
- Collaborate with team members to continuously improve process quality, tools, and documentation.
- Requirements: 1–3 years of experience in event coordination, project coordination, learning operations, or similar roles.
- Strong organizational skills with the ability to manage multiple simultaneous tasks.
- Ability to follow structured processes while adapting to client-specific variations.
- Comfortable using digital collaboration tools (e.g., SharePoint, Teams, Salesforce).
- Detail oriented, proactive, and able to work independently.
- Experience in training delivery operations or client-facing service roles.
- Experience supporting global teams or remote events.
- Experience specifically in training delivery operations or learning operations.
- Prior client-facing coordination or service delivery experience.
- Experience supporting global teams and/or live virtual or remote events.
- Familiarity with instructor management, labs, or training support workflows.
- Experience contributing to process improvements, templates, or operational documentation.
- Comfort operating in high-volume, fast-paced delivery environments.
