ABOUTTHE ROLE
The Executive Assistant supports the Founder & CEO of Fallow Collective directly across the parent entity and the operating portfolio. This is a high-trust, high-context seat: you manage the calendar, inbox, meeting flow, travel, and operational hygiene that lets the Founder lead across multiple entities without losing focus.
The Executive Assistant works closely with the Director of Field Operations at Barrel & Bloom, the Operations Manager at the Collective level, and the Executive Growth Partners across our Divisions. This is not a scheduling seat. You are an operating partner to the Founder.
WHAT YOU WILL DO- Own the Founder's calendar across all Fallow Collective entities, balancing strategic time, client engagements, payroll cycles, and cross-entity operating cadence
- Triage inbound communications across multiple inboxes and channels, drafting and sending on behalf of the Founder when appropriate
- Prepare meeting agendas, take and distribute notes, and track follow-ups and action items across the leadership team
- Coordinate travel across business and personal trips, including agency events, client visits, and industry conferences
- Manage expense reports, receipt tracking, and reimbursement coordination across entities
- Maintain document hygiene in Google Drive, Asana, and the contract repository
- Coordinate with Gusto on payroll cycles, new hire onboarding documentation, and contractor agreements
- Be the trusted operational extension of the Founder across confidential matters: contracts, equity discussions, compensation adjustments, founder-to-founder conversations
- Support cross-entity initiatives requiring coordination across multiple operating teams
- Five or more years of executive support experience, ideally supporting a founder or C-level executive across multiple business lines
- Exceptional calendar and inbox management discipline
- High emotional intelligence and strong sense of confidentiality
- Comfortable with rapid context-switching across multiple entities and brand voices
- Strong written communication; able to draft, edit, and send on behalf of the Founder when needed
- Proficient with Google Workspace, Asana, Gusto, and other modern operations tooling
- Hospitality-minded operator who treats every internal and external interaction as part of the brand promise
- Self-directed and proactive; you spot the next move before it is asked for
- Comfortable with executive-level confidentiality across personal and business matters
- Base Salary: $65,000 to $70,000 annually
- Performance Bonus: 10 percent of base ($6,500 to $7,000 target, $1,625 to $1,750 per quarter), tied to operational KPIs, paid quarterly
- Phone and Internet Allowance
- Total First-Year Loaded Compensation Range: approximately $75,100 to $80,600
