Proctoring Center Coordinator / Assistant Tutoring Center Director
Cincinnati State Technical and Community College invites applications for the position of Proctoring Center Coordinator / Assistant Tutoring Center Director. This position will primarily manage the daily operations of the College's Proctoring Center — a secure, in-person testing environment for make-up exams, online courses requiring in-person proctoring, and for students who opt out of using online proctoring for web-based courses. The Coordinator will ensure compliance with all academic integrity, security, and FERPA requirements while delivering excellent customer service to students, faculty, and staff.
In addition, the position will assist in the leadership of Tutoring and Math Centers.
- Oversee daily operations of the Proctoring Center, ensuring secure, fair, and consistent administration of assessments.
- Supervise and schedule part-time professional tutor/proctors.
- Design a secure process for the submission of assessments for proctoring
- Serve as the primary point of contact for faculty submitting exams for proctoring.
- Ensure compliance with institutional academic integrity policies, FERPA regulations, and proctoring protocols.
- Maintain accurate records of testing appointments, incidents, and security logs.
- Communicate effectively with faculty regarding assessment delivery and retrieval
- Manage the physical security of test materials, including chain-of-custody procedures.
- Provide occasional evening and weekend coverage as needed.
- Monitor student activity as they complete assessments.
- In the absence of the Tutoring Center Director, serve as manager for Tutoring Center.
- Assist in staff scheduling, training, and operational planning for the Tutoring Center.
- Participate in professional development to remain current on best practices in tutoring, proctoring, academic support services, and FERPA compliance.
- Other duties as assigned.
- Implement and monitor secure test administration procedures for paper-based and computer-based exams.
- Train and mentor staff in security protocols, customer service, and institutional policies.
- Respond to testing incidents, academic integrity concerns, and document outcomes.
- Maintain appointment scheduling systems and ensure adequate staffing for peak periods.
- Collaborate with faculty to clarify exam instructions, permitted materials, and special arrangements.
- Coordinate with IT to maintain testing equipment and software functionality.
- Assist with operational planning and process improvements for the Tutoring Center.
- Shadow the Tutoring Center Director to gain knowledge in budget oversight, assessment reporting, and staff development.
- Bachelor's degree from a regionally accredited institution.
- Minimum of 3 years in academic support/testing services, or higher education setting.
- Demonstrated understanding of FERPA and academic integrity requirements.
- Strong organizational and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to work occasional evenings and weekends.
- Master's degree from a regionally accredited institution.
- Experience in proctoring, tutoring center, or testing services operations.
- Knowledge of online proctoring tools (e.g., Honor Lock) and learning management systems.
- Experience in tutoring center operations or academic support leadership.
- Supervisory experience, preferably in an academic environment.
- Administer secure testing processes with accuracy and integrity.
- Lead and motivate staff in a professional, supportive manner.
- Apply institutional and legal compliance standards consistently.
- Communicate effectively with a diverse population of students, faculty, and staff.
- Manage multiple priorities in a fast-paced, detail-sensitive environment.
- Learn and apply new systems and technologies efficiently.
