General Function:
The Loan Documentation Manager supports and delivers exceptional service for Commercial Lending divisions by preparing commercial loan documentation, including real estate‑secured loans, land trust mortgages, and asset‑based loan requests.
Accountable for risk, the role exchanges ideas openly, elevates concerns, and follows policies and procedures. It ensures actions and behaviors drive a positive customer experience while operating within the bank’s risk appetite, consistently identifying, assessing, managing, monitoring, and reporting all types of risks.
ESSENTIAL DUTIES AND RESPONSIBILITIES:- Daily manage the Commercial Laser Pro team and volume received, ensuring deals turn around accurately within agreed SLAs.
- Conduct weekly team meetings to discuss volume, process updates, and questions.
- Periodically sample staff work to review quality.
- Oversee all aspects of preparing Laser Pro documents and communicate procedure changes.
- Prepare, review, and provide top‑quality, error‑free loan documents consistently and timely using Laser Pro software, adhering to predetermined turnaround times and accuracy levels.
- Handle all new, amended, restated, renewal, modification, and amendment documentation.
- Collaborate with internal or external counsel when needed.
- Advise on documentation decisions.
- Ensure quality of work by Loan Documentation Specialists meets the bank’s standard.
- Train Loan Documentation Specialists.
- Troubleshoot the most complex deals.
- Assist management with tracking and reporting key data.
- Develop efficiencies to add value to the closing process and loan system.
- Conduct necessary due diligence filings, recordings, searches, and regulatory requirements (e.g., FEMA, Reg U, Reg
B) to conform loan documents to approved approvals, internal procedures, and credit policy, protecting the bank’s collateral position. - Assist with loan funding, ensuring all regulatory requirements are met before funding and conduct a final review of all due diligence and loan documents.
- Collaborate with Relationship Manager, Portfolio Manager, Credit Analyst, Commercial Banking Associate, and Credit Documentation Analyst/Loan Closer to address discrepancies and deficiencies, analyzing collected information to develop solutions.
- Review system ticklers and collateral file images for missing documentation, issuing necessary documents after review.
- Prepare settlement statements for disbursement.
- Maintain database accuracy and deal status at all times.
- Prepare and review BOLT and Credit Portal documents.
- Comply with all applicable federal and state laws and regulations.
- Perform other duties as assigned.

MINIMUMKNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- High school diploma or equivalent; bachelor’s degree preferred.
- 7+ years in a financial institution focused on due diligence and/or loan documentation; commercial loan experience preferred.
- 5+ years of management experience.
- Experience in an automated loan origination environment preferred.
- Exceptional time‑management and organizational skills.
- Understanding of bank policies and procedures related to loan closing conditions, vendor documents, and services.
- Exceptional knowledge of commercial lending and loans.
- Thorough understanding of all commercial loan products.
- Thorough knowledge of Commercial Lending Credit Policy/Guidelines.
- In‑depth knowledge of loan documentation, collateral evaluation, lien perfection, and local, state, and federal regulatory requirements.
- Strong verbal and written communication skills.
- Strong negotiation skills.
- Ability to appropriately escalated issues for problem solving and decision making.
- Good interpersonal skills and team orientation.
