Project Finance Coordinator

AGAR is seeking a Project Finance Coordinator in the Greater Cincinnati area with 3-5 years of experience in project finance, job costing, budgeting, financial analysis, or a related finance function to support the financial management of projects from bid through closeout. The Project Finance Coordinator will work closely with Account, Creative, and Production teams to develop project budgets, track job costs, monitor profitability, prepare reconciliations, and provide financial reporting throughout each project’s lifecycle.

The candidate will also support vendor cost analysis, Statements of Work, change orders, and project forecasting to ensure projects remain on budget and aligned with profitability objectives.

This role will be integral to AGAR’s day to day financial operations by ensuring accurate project tracking and reporting across active jobs. The Project Finance Coordinator will monitor project performance by analyzing labor utilization, tracking expenses, preparing variance reports, reconciling project budgets, and supporting timely closeouts. Working under the direction of the Controller, the candidate will support reconciliations and maintain project finance processes and reporting tools.

With AGAR's fast paced project environment and quick turnaround timelines, the Project Finance Coordinator must be highly organized, detail oriented, and capable of managing multiple priorities across active projects simultaneously. The ideal candidate is a collaborative self starter who can work effectively with Account, Creative, Production, and Operations teams while translating financial data into actionable insights. Experience with budgeting, job costing, and reconciliations is required, along with strong Excel skills and experience using accounting, project management, and time tracking systems.

Familiarity with Quick Books is preferred.

• Build project budgets from creative and project briefs using vendor quotes, historical data, and market rates; assist with project setup and job number assignment across systems
• Track job costs, monitor project profitability, and maintain vendor rate and cost databases to support accurate budgeting and forecasting
• Monitor active project budgets, prepare variance analyses, and proactively flag risks or budget concerns to the Controller and project teams
• Partner with department leads to forecast resource needs and labor hours to support project delivery and profitability targets
• Provide cost estimates and margin analysis for Statements of Work, change orders, and related financial documentation
• Obtain and compare vendor quotes, support vendor management, and assist with establishing payment terms under Controller guidance
• Lead project reconciliations and support timely and accurate job closeouts
• Ensure accuracy and quality control across project financial data
• Maintain project finance templates, reporting tools, and documented procedures while supporting the development and refinement of financial processes as AGAR scales
• Represent AGAR’s vision, mission, guiding principles, and core values while contributing to internal meetings and process improvement initiatives

• BS/BA in Finance, Accounting, Business, or related field, or equivalent experience
• 3+ years of experience in project finance, cost accounting, or similar role within a project-based environment such as experiential marketing, advertising, creative agencies, events/production, consulting, architecture, or…
