General Function

The Sales Assistant role in the Consumer Direct Channel Mortgage department undertakes a wide range of responsibilities assisting the Sales department and each Mortgage Loan Originator (MLO). The SA team acts as the main facilitator of communications between the MLO, the customer, and the Fulfillment teams. The purpose of the team is to assist in ensuring top quality mortgage loan applications while increasing the MLO’s efficiency to drive production.

Responsible and accountable for risk by openly exchanging ideas and opinions, elevating concerns, and personally following policies and procedures as defined. Accountable for always doing the right thing for customers and colleagues, and ensures that actions and behaviors drive a positive customer experience. While operating within the bank’s risk appetite, achieves results by consistently identifying, assessing, managing, monitoring, and reporting risks of all types.

Duties And Responsibilities
  • Completes quality assurance tasks to ensure that files are moving from the beginning stages of a refinance/purchase loan to the next steps in the fulfillment process.
  • Confirms and reviews all documentation needed at the time of application with the customer to ensure the file will meet the 7-Day submission requirement.
  • Ensures all components to the file are ordered, copied, and included in the loan package prior to processing.
  • Prepares/sends out preliminary loan documentation.
  • Serves as a liaison between MLO and the customer until file is sent to fulfillment for processing.
  • Assisting in all other areas of the loan as necessary to provide additional support and efficiency.
  • Hard stops files for lack of completion and ensures completeness before moving forward.
  • Accompanies each customer through the welcoming stage of their loan by communicating all welcome and follow-up calls.
  • Maintains a pipeline of incoming and current loan files.
  • Managing time throughout the day with in-progress and incoming tasks to be completed in a timely manner.
  • Maintains professionalism within verbal and written communications.
  • Reviews confidential information such as credit reports, guideline specifics to each loan, purchase/sale agreements, personal income/asset documentation, etc.
  • Assists the channel in Minimum Submission scores and the overall experience for every customer.

Minimum Knowledge,

Skills and Abilities

Required
  • High school diploma or equivalent.
  • Broad understanding of residential mortgage loans.
  • Proven computer skills with knowledge of Windows-based applications.
  • Knowledge of federal lending regulations governing residential real‑estate lending.
  • Demonstrated leadership and organizational skills.
  • Strong written and verbal communication skills.
  • Demonstrated teamwork and customer service skills.
  • Ability to analyze policies, procedures and guidelines in a way that maximizes productivity while protecting the desired level of risk.
  • Ability to learn and apply knowledge of conventional, government, and portfolio guidelines and the computer loan application system.
  • Ability to observe/review detailed documentation.
  • Strong work ethic and excellent time management skills.
  • This position requires S.A.F.E. Act registration at the time of employment through the Nationwide Mortgage Licensing System (NMLS). The NMLS Web site (mortgage.nationwidelicensingsystem.org) provides the MU4R questions and registration required for employment in this position.
