Job Description

This position manages scheduling for two specialized clinics and requires someone who is dependable, detail oriented, and comfortable shifting between workflows throughout the day. The scheduler coordinates new and follow up appointments, reviews referrals for accuracy, communicates with patients by phone and portal, and works closely with genetic counselors, APPs, and clinical staff to ensure the right patient is in the right appointment at the right time.

Responsibilities
  • Scheduling new and follow up visits for high risk and genetic counseling patients
  • Reviewing referrals for completeness and accuracy
  • Communicating clearly and compassionately with patients
  • Managing appointment changes and problem solving barriers to care
  • Collaborating with clinical staff to maintain smooth daily clinic flow
  • Maintaining accurate documentation within the electronic health record
  • Supporting a high standard of patient experience
  • Clinical hours are 7:30 to 4:00 with arrival by 7:15 to open the clinic
  • Other duties as assigned

The scheduler is often the first voice a patient hears in the clinic, and that voice matters.

Qualifications
  • High School Diploma or equivalent required;
    Associates degree or Medical Secretary Certification preferred.
  • 2 years medical office experience and 1-year prior scheduling experience required.
  • Administrative or secretarial experience preferred.
  • Computer skills (Microsoft Outlook, Word, Excel) and familiarity with copier, fax, telephone system, and postage equipment.
  • Excellent organization and communication skills required.
  • Must be able to multi‑task and maintain confidentiality.
