About the RoleWe're hiring a Patient Access Representative for our Sharonville location (Monday–Friday, 11:00am–7:30pm). This role is often the first voice someone hears when reaching out for help — guiding clients and families through the admissions process, answering questions, and making sure they feel supported from the very first call.
What You'll DoClient Engagement
- Serve as the first point of contact for clients, families, and referral sources
- Conduct initial screenings to determine the appropriate level of care
- Explain DeCoach's services, treatment options, and admissions process clearly and accurately
Admissions Coordination
- Manage documentation, insurance verification, and pre-authorizations
- Partner with clinical, medical, and outreach teams for a smooth intake‑to‑admission transition
- Keep admissions records accurate and compliant
- Maintain consistent follow‑up with clients, families, and referral sources
- Work with the outreach team on lead follow‑up and conversion
- Coordinate with clinical and medical staff on assessments and intake scheduling
Education & Support
- Help clients and families understand the recovery process and available resources
- Provide calm, informed support during a difficult and often emotional time
- Contribute to informational materials about DeCoach's programs
Data & Reporting
- Track admissions metrics — conversion rates, referral sources, demographics
- Spot trends and flag opportunities to improve the admissions process
- Participate in team meetings on process and performance
- High school diploma or equivalent
- Experience in admissions, customer service, or similar — healthcare or addiction treatment background preferred
- Familiarity with addiction recovery and treatment processes a plus
- Strong communication skills; comfortable engaging with clients and families with professionalism and empathy
- Highly organised, able to manage multiple priorities and deadlines
- Proficient in Microsoft Office; EHR software experience a plus
