As an HR Administrator
- New Hire Onboarding, you’ll manage new hire onboarding and orientation. This role will own pre-employment requirements, Drug and Alcohol Program duties as a Designated Employer Representative (DER), and benefits enrollment. Ensure a smooth, compliant, and positive experience for new employees and support hiring managers with timely, accurate HR processes.

What you’ll do
  • Manage end-to-end onboarding for all new hires, including scheduling orientation sessions and coordinating with hiring managers and departments.
  • Administer pre-employment requirements: initiate and track background checks through Hire Right, complete I-9 verification using Law Logix, coordinate drug testing and physicals, verify licenses/certifications, and ensure other site‑specific compliance items are met.
  • Act as Designated Employer Representative (DER) for the Drug and Alcohol Program: coordinate testing, maintain chain‑of‑custody process, ensure timely notifications, track results, and maintain required documentation and confidentiality.
  • Conduct new‑hire orientation covering company policies, safety procedures, culture, payroll setup, and initial benefits information.
  • Enroll new employees in company benefits programs (health, dental, vision, life, disability, 401(k), FSA/HSA) and explain plan options, eligibility, and deadlines.
  • Enter and maintain accurate employee records in Oracle Fusion HRIS and related systems; ensure documentation is complete and stored per retention policies.
  • Coordinate with payroll to ensure correct pay setup, deductions, and new‑hire data transfer.
  • Provide HR policy guidance to new hires and hiring managers; elevate complex issues to HR leadership.
  • Prepare and distribute onboarding materials, welcome packets, compliance forms, and equipment/access requests.
  • Monitor onboarding metrics and provide reports on time‑to‑complete onboarding tasks, completion rates, and compliance.
  • Partner with the talent acquisition team and local HR Generalist team to support onsite hiring events, as needed.
  • Support continuous improvement of onboarding processes and tools to enhance the new‑hire experience and compliance.
  • Maintain strict confidentiality and comply with federal, state, and local employment regulations.
Basic Qualifications
  • Associate degree in Human Resources, Business Administration, or related field or a minimum of 4 years' of equivalent experience.
  • 2+ years of HR experience in the manufacturing industry, preferably with a focus on onboarding, benefits administration, or drug & alcohol program coordination.
  • 2+ years of experience with I-9, E-Verify, FMLA, ADA, and other employment compliance requirements.
  • 2+ years of experience with administration of employee master data in HRIS system.
Desired Skills
  • Bachelors Degree in related field.
  • Experience serving as a DER for DOT/non-DOT drug and alcohol programs strongly preferred.
  • Experience with Oracle Fusion, Hire Right background checks, and Law Logix I-9 verification strongly preferred.
  • Proficiency with Microsoft Office (Excel, Word, Outlook).
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast‑paced environment.
  • Excellent interpersonal and communication skills; customer-service orientation.
  • High level of integrity and ability to handle confidential information.
  • May require occasional early start times for orientation sessions or after-hours coordination for urgent matters.
  • Ability to stand for extended periods during orientation sessions and to travel occasionally between company sites if required.
