The Recruiting Support Specialist works behind the scenes to support recruiters, candidates, and active contractors throughout the employment lifecycle. From candidate intake and interview coordination to onboarding, timekeeping, invoicing, and contractor support, this position helps ensure both candidates and contractors receive a professional and efficient experience.
This is an excellent opportunity for someone who is highly organized, comfortable working with multiple systems, and enjoys being the operational support that keeps a busy recruiting team on track.
Required Qualifications- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft Office
- Comfortable learning and working within Applicant Tracking Systems (ATS) and other recruiting technology
- Strong follow-up skills and ability to maintain accurate documentation
- Professional and confident communication when working with candidates and contractors
- Previous staffing, recruiting, HR, or administrative support experience
- Applicant Tracking System (ATS) experience
- Experience coordinating background checks and drug screenings
- Docu Sign experience
- Quick Books experience
- Experience supporting contractors or contingent workforce programs
- Answer and screen incoming recruiting line calls
- Assist candidates throughout the application process
- Guide candidates through the Applicant Tracking System (ATS)
- Document candidate intake information accurately
- Assist with resume uploads and candidate records
- Maintain accurate and up-to-date ATS documentation
- Route qualified candidates and recruiting needs to the appropriate recruiter
- Coordinate and schedule candidate interviews
- Conduct professional reference checks
- Schedule required background checks and drug screenings
- Assist candidates with onboarding paperwork and required documentation
- Support compliance documentation through Quick Books and Docu Sign
- Track outstanding onboarding requirements and follow up to ensure timely completion
- Review contractor time entries for accuracy and completeness
- Identify discrepancies and make approved time adjustments when necessary
- Escalate timekeeping concerns to recruiters
- Send weekly timekeeping reminders to active contractors
- Follow up on missing or incomplete time submissions
- Send weekly invoice reminders to contractors
- Track missing and late invoices
- Follow up directly with contractors regarding outstanding documentation
- Notify recruiters of recurring or unresolved invoice issues
- Maintain organized records to support accurate and timely processing
- Provide ongoing administrative support to active contractors
- Assist with contractor questions and route issues to the appropriate team member
- Track contractor milestones and retention initiatives
- Coordinate and track appreciation packages for active contractors
- Help ensure contractors receive consistent communication and support throughout their assignments
