Legal Secretary
The law firm of Ennis Britton Co. L.P.A. is seeking a full-time Administrative Assistant/Accounting Clerk to work in collaboration with other administrative staff. The ideal candidate will be proficient with Microsoft Office Word and Excel, including legal document management systems, accounting software and other basic office principles. This position reports to the Operations Manager as well as the Firm’s Managing Shareholder.
The position is based in the firm’s Cincinnati office. Some occasional travel between offices will be required.
- Assist in the preparation of legal documents and presentations, including pleadings and collective bargaining agreements.
- Type, format, edit, and proofread legal documents, correspondence, and presentations with attention to detail.
- Maintain calendar and scheduling for assigned attorneys.
- Preparation and submission of new client and/or new matter forms.
- File, eFile, and serve pleadings/discovery in state and federal actions.
- Maintain accurate financial records of all receivable transactions, process deposits, and enter all payments into the firm’s accounting system.
- Resolve issues with delinquent accounts by contacting and working with the client.
- Post attorney and staff monthly expenses into the accounting system for payment.
- Assist with the firm’s billing process by preparing bi-weekly time entry reports for review by the attorneys.
- Assist attorneys with time entry as needed.
- Assist in firm development projects, such as an annual conference and event planning and client service offerings.
- Other related duties as assigned.
- Minimum of three years of experience as an administrative assistant in a professional setting.
- Proactive self-starter eager to explore new areas of interest.
- High attention to detail and organization.
- Familiarity with and strong working knowledge of electronic billing systems and processes, specifically Clio.
- Proficient skills in MS Word, Excel, Adobe, and document management programs (Net Docs).
- Superior communication and engagement skills, including the ability to interact credibly and diplomatically with individuals at all levels of the firm, including clients.
- Must be flexible to respond quickly and positively to shifting demands and be able to communicate workload challenges to the administrative manager.
- Ability to work independently and as a team member.
- Ability to maintain confidentiality and to exercise discretion and good judgment.
