The Marketing Events Specialist supports the planning and execution of customer-facing events, demonstrations, trade shows, office visits, webinars, Experience Lab activities, and related marketing campaigns. This hands-on role helps coordinate logistics, prepare materials, support demo and event readiness, maintain campaign details, and assist with Hub Spot lead nurturing and post-event follow-up. The role ensures marketing activities are organized, professional, consistent, and aligned with Kardex branding and customer experience goals.

Your tasks

Kardex is seeking a highly organized and detail-oriented Marketing Events Specialist to support the planning and execution of customer-facing events, demonstrations, trade shows, office visits, webinars, and marketing activities.

This full-time role is ideal for someone who enjoys coordinating details, keeping projects organized, supporting events from start to finish, and helping create a professional customer experience. The Marketing Events Specialist will work closely with the marketing team and cross-functional partners to prepare materials, coordinate logistics, support demo and event readiness, assist with post-event follow-up, and ensure customer-facing activities are executed smoothly.

This is a hands-on coordination role that requires strong communication, follow-through, comfort with technology, and the ability to manage multiple tasks in a fast-paced environment.

Ultimate Objective:
Helps deliver organized, professional, and consistent customer-facing experiences by supporting the full lifecycle of marketing events, demos, customer visits, related materials, lead follow-up, and campaign support.

Demo Environment Readiness Help maintain demo areas in Montgomery, OH and customer-facing spaces in a clean, organized, and presentation-ready state

Coordinate with internal teams or vendors as needed for basic upkeep and readiness

Ensure monitors, screens, demo visuals, signage, and customer-facing materials are current and professional

Coordinate with internal stakeholders to ensure software, workflows, and demo scenarios are prepared to support customized demonstrations of specific workflows and products.

Assist with updating videos, presentations, or display content working, with marketing as needed

Receive, organize, and stage demo materials, shipments, supplies, and customer-facing assets

Perform pre-demo and pre-visit readiness checks using standardized checklists , including confirmation of software work flows, inventory availability, and required materials.

Help identify missing, damaged, outdated, or incomplete materials before customer visits or demos

Identify bugs/issues in the demonstration and collaborate with internal stakeholders to resolve these prior to live demonstrations.

Experience Lab, Demo & Customer Visit Coordination Support scheduling and preparation for customer demonstrations, Experience Lab activities, customer visits, and internal meetings

Help track upcoming demos, visits, events, and required materials

Coordinate with marketing and sales to ensure the correct messaging, collateral, visuals, and materials are used Assist with staging materials for customer visits, demos, and Xperience Days including the operation of the Auto Store and Kardex FulfillX software to prepare orders, expected receipts and cycle count tasks.

Support coordination of project signs, sample products, bins, boxes, and other demo-related materials

Help coordinate demo tools and materials needed for events, customer visits, or internal use Maintain visibility into what materials are being used, where they are located, and when they need to be returned

Event & Trade Show Coordination Assist in coordinating logistics for trade shows, events, open houses, customer days, partner events, webinars, and other marketing-led activities

Support event planning timelines, task lists, deadlines, and coordination with internal team members, vendors, partners, and event organizers

Prepare and coordinate event materials including booth assets, backdrops, displays, demo materials, signage, collateral, promotional items, lead capture tools, and related equipment

Coordinate shipping, packing, tracking, receiving, return shipments, and post-event restocking of event materials

Own coordination of trade show booth setup and breakdown, including vendor coordination, material organization, booth readiness, and post-show return logistics

Attend select trade shows or events to support on-site execution, booth readiness, lead capture coordination, and event logistics

Maintain event checklists to ensure required materials, assets, deadlines, and logistics are accounted for before, during, and after events

Build and maintain exhibition guides, event briefings, checklists, and internal event documentation.
