Are you a highly organized, creative professional who enjoys bringing people together around a meaningful mission? As the Special Events Coordinator at City Link Center, you will help create experiences that celebrate client progress, engage the community, and build support for our work.

We’re looking for a detail-oriented, relational, and solution-focused coordinator who can turn plans into well-executed events. You will coordinate logistics, vendors, volunteers, communications, and event-day execution while helping each gathering reflect City Link’s mission and values.

The Special Events Coordinator is responsible for planning support and execution across City Link Center’s client and community events. These events increase awareness, deepen engagement, celebrate achievement, and generate resources that advance the organization’s mission.

This role supports events including Client Celebrations, Community Conversations, Immersion Experiences, the Holiday Market, and other special or ad hoc events. The coordinator works closely with the Chief Program Officer and collaborates with program, volunteer, operations, communications, and development staff.

What You’ll Do Event Planning And Coordination
  • Develop event plans, timelines, task assignments, and logistical details in partnership with the staff member responsible for each event.
  • Coordinate venues, vendors, supplies, décor, food, printed materials, recognition items, and other event needs.
  • Maintain clear communication with internal teams and external partners so responsibilities, deadlines, and expectations are understood.
  • Anticipate needs, identify potential issues, and develop practical solutions before and during events.
Client Celebrations
  • Partner with the Client Services Manager to develop the annual theme, event concept, and client recognition approach.
  • Work with the Communications Manager and supporting staff to bring the event brand to life through printed materials, recognition items, signage, and event details.
  • Lead the development of the event environment, including décor, guest experience, setup, and flow.
  • Coordinate and lead volunteers who support setup, execution, and cleanup.
  • Support the collection and preparation of client recognition information and materials.
Community Conversations
  • Work with the Chief Program Officer and External Relations Director to identify event topics, speakers, and desired outcomes.
  • Create an engaging guest experience, including thoughtful reflection, discussion, and application activities.
  • Coordinate with the Communications Manager to ensure invitations, promotion, registration, and printed materials are completed with quality and on time.
  • Provide clear roles and instructions for program staff, volunteers, and other event partners.
Immersion Experiences
  • Work with External Relations, program, and volunteer leaders to identify target audiences, event dates, and desired next steps for participants.
  • Coordinate the event experience from arrival through follow-up, ensuring guests understand City Link’s mission, model, and opportunities for engagement.
  • Partner with communications, program, and volunteer teams to prepare materials and create clear, meaningful ways for guests to participate.
Event Execution And Follow-Up
  • Lead or support event setup, event-day logistics, guest flow, volunteer coordination, and cleanup.
  • Document what worked, what did not, and what should be improved after each event.
  • Translate lessons learned into practical action steps for future events.
  • Ensure sponsors, vendors, speakers, volunteers, and key guests are appropriately thanked for their support and participation.
