JOB SUMMARYThis position is responsible for the daily administrative operations of the development department, focusing on accurate gift entry, donor acknowledgment, and financial record reconciliation. The Coordinator manages the volunteer program by facilitating orientations, processing onboarding paperwork, and tracking service hours across the organization. Additional duties include generating standard department reports, maintaining database integrity, and providing logistical support for mailings and event registration.
By handling routine donor inquiries and clerical tasks, this role ensures the consistent and organized execution of the department’s daily fundraising activities.
- Daily entry of all contributions (cash, checks, credit cards, and in‑kind) into the CRM database with high accuracy.
- Manage the production and distribution of timely, personalized donor acknowledgment letters and tax receipts.
- Lead the monthly reconciliation process with the Finance Department to ensure fundraising software and accounting ledgers align.
- Generate monthly department reports.
- Supply donor lists as needed for department use.
- Lead bi‑monthly volunteer orientations and manage all onboarding documentation, including background checks, in coordination with HR.
- Collaborate with the VP of Programs and department heads to identify needs and strategically place volunteers across the organization.
- Coordinate with the communications contractor to market volunteer opportunities.
- Implement regular surveys to measure volunteer satisfaction.
- Maintain accurate records of volunteer hours, skills, and contact information.
- Provide support for signature events, including tracking RSVPs.
- Assist the Director of Development with the logistics of direct mail and digital giving campaigns.
- Provide administrative tools and support to community members hosting external fundraisers for the YWCA.
- Support development of landing pages for fundraising appeals and events.
- Respond to routine email, phone calls, etc.
- Make copies, print documents, etc.
- File paperwork.
Interacts with Chief Development Officer, Director of Development, Director of Human Resources, VP of Programs, President/CEO, YWCA volunteers.
QUALIFICATIONS- Bachelor’s degree in related field of study and/or equivalent education/experience.
- Experience working with CRMs;
Raiser’s Edge preferred. - Proficient with Microsoft Office.
