Job Details and Requirement: BASIC FUNCTION:
Claremont McKenna College (CMC) is seeking an experienced administrative professional with the ability to support the Office of Planned Giving in its mission to provide alumni, parent, and friends of the College excellent customer service while helping them meet their philanthropic and financial objectives. The Planned Giving Specialist serves as the primary point of contact for the Office of Planned Giving, while also managing administrative duties and responsibilities that support the office.
This position requires significant attention to detail, and the ability to prioritize work, manage large projects, and maintain confidentiality.
Reporting to the Director of Planned Giving, the Planned Giving Specialist performs the following essential duties and responsibilities:
Maintain prospect and donor records in accordance with legal, College, and department standards.
Oversee the preparation, circulation, delivery, and tracking of life income gifts, bequest gifts, income releases, and tax forms between departments, ensuring all information pertaining to the gift is accurately reflected in internal systems.
Process donation receipts and acknowledgement letters, ensuring both align with donor intent.
Review daily, weekly, monthly, quarterly, and annual reports ensuring accuracy in all data for delivery to internal departments, donors, beneficiaries, and financial representatives.
Prepare correspondence, including large mailings and stewardship projects.
Organize travel arrangements and itinerary circulation for Planned Giving staff.
Assist in scheduling, preparing, and disseminating materials for meetings, both internally and externally, with an emphasis on reunion committee support.
Assist in the preparation of training workshops, Planned Giving events, and the upkeep of training manuals.
Work with a high level of accuracy, prioritizing attention to detail and ensuring all deadlines are met.
Perform other essential duties and tasks specific to the position.
Regular attendance is considered an essential job function; the inability to meet attendance requirements may preclude the employee from retaining employment.

EDUCATION:
A high school diploma, GED, or any combination of education and experience that provides the required knowledge, skills, and abilities is required. A bachelor’s degree is preferred.
EXPERIENCE:
Two to three years of increasing responsibility in administrative support work or related experience is required. Experience in planned giving or educational development is preferred.
