Position: AUTOMOTIVE TITLE CLERK

Automotive Title Clerk

The Automotive Title Clerk is responsible for processing and maintaining vehicle title and registration documentation for new and used vehicle sales. This role ensures all transactions are completed accurately, timely, and in compliance with state regulations and dealership procedures.

Responsibilities
  • Process titles for new and used vehicle sales.
  • Prepare and submit registration and title paperwork to the DMV/RMV.
  • Complete title transfers for sold, traded, and financed vehicles.
  • Review deal paperwork for accuracy and completeness.
  • Verify customer information, VINs, odometer disclosures, and supporting documents.
  • Process lien holder information, lien recordings, and lien releases.
  • Prepare documentation for out-of-state vehicle transactions.
  • Track titles from purchase through final completion.
  • Resolve title discrepancies, missing documents, and rejected registrations.
  • Maintain accurate electronic and physical records of vehicle transactions.
  • Communicate with DMV/RMV offices, lenders, customers, and dealership personnel.
  • Ensure compliance with all state regulations and dealership policies.
  • Break down completed deals and audit required documentation.
  • Stock in new and used vehicle inventory.
  • Order office and department supplies as needed.
  • Assist with general administrative and office duties.
Qualifications & Skills
  • Previous automotive title, registration, or dealership experience preferred.
  • Strong attention to detail and accuracy.
  • Excellent organizational and record-keeping skills.
  • Ability to handle confidential customer information with discretion.
  • Proficiency with basic computer applications and dealership software.
  • Ability to accurately work with VINs, vehicle documentation, and numerical data.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment.
  • Knowledge of DMV/RMV procedures and state titling requirements preferred.
What You'll Do Each Day
  • Receive and review completed deal jackets from the Finance and Sales departments.
  • Audit paperwork to ensure accuracy and compliance.
  • Prepare and submit title and registration documents.
  • Monitor outstanding titles and registrations.
  • Follow up on missing documentation and resolve processing issues.
  • Maintain organized records and provide updates on transaction status.
  • Support dealership operations through inventory, administrative, and clerical functions.
