Automotive Office Assistant / Title Clerk

We are seeking a dependable, organized, and detail-oriented Automotive Office Assistant / Title Clerk to join our team. This position will have a strong emphasis on vehicle title processing, registration paperwork, and maintaining accurate vehicle records, while also assisting with general dealership office and administrative responsibilities.
The ideal candidate is highly organized, comfortable working with detailed paperwork, able to manage multiple deadlines, and committed to accuracy. Previous automotive title clerk or dealership office experience is strongly preferred.
Key ResponsibilitiesTitle & Registration Duties
- Prepare and process vehicle title and registration paperwork for retail and wholesale transactions
- Review deal paperwork to ensure title documents are complete and accurate
- Process title applications, transfers, lien information, and related documentation
- Maintain accurate title records and track outstanding titles
- Follow up on missing titles, lien releases, corrections, and other required documentation
- Coordinate with customers, lenders, other dealerships, and appropriate state agencies as needed
- Ensure paperwork is processed accurately and within required time-frames
- Maintain organized records for completed and pending title transactions
Office & Administrative Support
- Assist with processing and reviewing vehicle deal paperwork
- Perform data entry and maintain accurate customer and vehicle information
- Scan, file, copy, and organize dealership documents
- Answer phones and assist customers in a friendly, professional manner
- Provide general administrative support to the accounting and management teams
- Assist with additional dealership office responsibilities as needed
- Automotive title clerk or dealership office experience preferred
- Knowledge of vehicle titles, registrations, liens, and dealership paperwork is a strong plus but we will train
- Excellent attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to prioritize multiple tasks and meet deadlines
- Comfortable working with computers, office software, and dealership management systems
- Strong written and verbal communication skills
- Professional and courteous when working with customers, lenders, vendors, and coworkers
- Ability to handle confidential customer and business information appropriately
- Dependable, punctual, and able to work both independently and as part of a team
We are looking for someone who takes ownership of their work and understands that accuracy matters, particularly when dealing with titles and vehicle documentation. The right candidate will be proactive about following up on outstanding items, keeping records organized, and making sure paperwork does not fall through the cracks.
