Position Purpose

Under the direct supervision of the Executive Director of Student Learning and Executive Director of Operations, provide a wide variety of complex and confidential administrative and secretarial support to the Executive Directors; communicate information on behalf of both Executive Directors to school district employees, parents, other school districts, public agencies, ensuring compliance of Central office and Board activities with administrative requirements;

and address a variety of issues and/or provide general support necessary to ensure efficient and effective school district operations.

Essential Functions
  • Compose routine and complex documents (e.g., executive summaries, correspondence, policies, agendas, minutes, newsletters, event programs, handbooks, bulletins, reports, job postings, etc.) for the purpose of communicating information to school and district personnel, students, parents, the public, and others.
  • Prepare and distribute notices, memoranda or other correspondence to inform school employees, parents, and the public regarding meetings, activities, events or other work‑related matters.
  • Attend meetings as assigned, coordinating the schedule of the Executive Director.
  • Maintain a calendar of school district events to coordinate and schedule district activities.
  • Maintain documents and records for the purpose of providing up-to‑date reference, retrieval, and audit trail for the district and for compliance.
  • Perform Central Office front desk duties as needed.
  • Assist visitors to the office, including students, parents, substitute teachers, maintenance workers, and others.
  • Respond to inquiries (including telephone calls) from students, parents, and employees, providing information, facilitating communication among parties, and/or providing direction.
Additional Duties

Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of Central office and school district operations. Equipment

Use standard office equipment such as technology and Google Suite, Microsoft Office, a copy machine, fax machine, and telephone.

Travel Requirements

Limited travel to and from meetings may be required.

Knowledge, Skills, and Abilities
  • Describe problems and work orally or in writing to supervisor as needed.
  • Establish and maintain cooperative working relationships with others contacted in the course of work.
  • Carry out instructions furnished in written or oral form.
  • Perform arithmetic computations.
  • Understand, apply, and use personal computers and software applications (e.g., Word, Excel, PowerPoint).
  • Problem‑solve job‑related issues.

  • Process paperwork accurately according to standardized procedures.
  • Maintain confidentiality of information regarding students, employees, and others, including financial information.
  • Organizational, scheduling, and time‑management skills.
  • Knowledge of office management procedures.
  • Knowledge of state and federal laws relating to public education and public information (preferred).
Physical and Mental Demands, Work Hazards
  • Work in standard office and school building environments.
  • Ability to work outdoors during outdoor student activities.
Qualification Profile
  • Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
  • Graduation from high school.
  • Associate’s degree with coursework in business, word processing, office procedures, and record keeping (preferred).
  • Shorthand or speed writing skills desirable.
  • Successful experience in an increasingly responsible nature in public service, and executive administrative assistance or executive secretarial position.
