About the RoleWe're looking for a sharp, self-directed events contractor to join our global events team on a part-time basis (~24 hours/week). Reporting to the Director, Global Events, you'll play a hands-on role across the full event lifecycle, from identifying and reaching the right audiences to making sure every detail lands perfectly on the day.
This role sits at the intersection of event marketing and logistics. You'll be equally comfortable crafting a targeted outreach message to a CPO and managing a venue contract or swag shipment. If you're the kind of person who sweats the small stuff because you know it matters, you'll fit right in.
What You’ll Do- Identify and source appropriate prospects for GEP-hosted events, with a focus on senior procurement and supply chain leaders at target accounts.
- Build and refine outreach lists using Linked In and event buyer personas.
- Draft personalized, accurate outreach messages tailored to each event's audience and objectives.
- Partner with internal stakeholders to review and approve prospect lists.
- Support end-to-end coordination across GEP-hosted events and third-party conference sponsor ships in the US, Europe, and APAC.
- Play a supporting role in the planning and execution of INNOVATE
26, GEP's annual flagship conference, including housing, logistics coordination, and Bizzabo registration. - Collect quotes, negotiate contracts, and manage full-cycle logistics for hosted events from kickoff to post-event close.
- Support logistics for sponsored industry conferences, including signage, booth materials, and giveaways.
- Source and manage executive gifts, branded swag, and printed collateral; ensure quality, accuracy, and on-time delivery.
- Support vendor relationships to ensure quality, timeliness, and cost-effectiveness.
- Oversee design and production of event signage and supporting materials.
- 5+ years of experience in event marketing or event coordination, with a strong preference for B2B or SaaS environments.
- Exceptional attention to detail — particularly around the accuracy of names, titles, outreach copy, and event materials.
- Proactive communication and comfort working effectively across teams and vendors.
- Strategic mindset when it comes to audience fit, messaging, and aligning event activations to business objectives.
- Ability to manage multiple events simultaneously, meet deadlines, and work independently with minimal oversight.
- Based in the NY/NJ area with availability to work from our Clark, NJ headquarters 1–2 days per week; must be aligned to Eastern Time Zone business hours.
This is a part-time contract position. The hourly rate for this role is up to $50.00. Contractor roles are not eligible for GEP employee benefits.
