Position OverviewProvide day‑to‑day administrative support for the Sales team, including managing sales quotes, reviewing automotive approvals, preparing product data sheets, synchronizing databases, and handling price increases.
Responsibilities- Predictable and dependable attendance is required.
- Serve as a customer advocate within the company to ensure total customer satisfaction.
- Adhere to the 2‑hour callback policy for internal and external customers for phone, email and/or fax inquiries.
- Maintain quality customer service in accordance with Company Core Values.
- Work in accordance with all aspects of the Proactive Sales Support Model.
- Process customer quotes in a timely (same day) and accurate manner as instructed by the salesperson and in line with customer expectations.
- Send marketing literature to customers upon request.
- Manage and process price increase letters.
- Handle IDES, material data and processing sheet research.
- Use the internet to gather data sheets and handle automotive approvals through IDES.
- Maintain sales databases through daily tasks and weekly proactive calls to sales.
- Develop new databases and transfer data between databases when required.
- Document and maintain procedures for quotes, price increases, automotive approvals, and database management.
- Pull sales data from a variety of sources.
- Maintain and report on Sales Administrative activity.
- Initiate, manage and implement all supplier price increase letters to customers and in the Chasenet database.
- Keep ISO logs up to date for identified areas.
- Become familiar with all products and learn product line specifics for each account.
- Develop and maintain positive relationships with customer accounts, CPS Sales, and internal customers.
- Support continuous improvement related to the training matrix and cross‑training.
- Support continuous team improvement in meeting customer needs as determined through metric performance.
- Actively participate in team Best Practice meetings scheduled by the Sales Support Manager.
- Complete miscellaneous projects assigned by Staff Manager(s).
- Provide backup to other Customer Service Team Members as needed, including Customer Service Representative, Receptionist, Operations Support, etc.
- Process and send certifications per customer specifications for all orders shipped the prior business day through P21 Certificate and Direct Ship portal programs.
- Track manufacturer certifications from all suppliers based on reports provided and generated from Accounts Payable.
- Log and track all supplier late certifications and participate in the supplier evaluation process.
- Save and manage all certification files in Doc Link.
- Focus on noted areas of improvement from the prior year Catalytic Coaching session and implement development recommendations.
- Possess a 4‑year college degree or at least 4 years of sales‑level administrative experience.
- Strong integrity and confidentiality; professional and positive demeanor at all times.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Microsoft Access; knowledge of synchronizing databases and processing mail merges.
- Strong organizational skills and the ability to multi‑task.
- Ability to assume responsibility for projects, exercise initiative and judgment, and implement actions without direct supervision.
- Ability to read, interpret, and apply common sense in carrying out instructions furnished in writing, orally, or in diagram form, using procedure manuals, work instructions, and software manuals.
- Ability to write reports and/or correspondence.
- Ability to speak and communicate effectively with employees and customers via written or verbal communication.
- Basic arithmetic skills: addition, subtraction, multiplication, and division in all units of measure, using whole numbers, common fractions, and decimals.
Individuals may need to sit or stand as needed, walk periodically, reach above shoulder heights, reach below the waist, or lift up to 25 pounds. Proper lifting techniques and finger and wrist dexterity with repetitive motion are required. Work is typically performed in an ambient room…
