The Licensing and Compliance Coordinator will serve as the central point of contact for all state licensing, permitting compliance, and regulatory reporting activities across Arning’s multi-state operations. This position is critical to ensuring uninterrupted business operations by maintaining all necessary licenses in good standing, meeting mandatory reporting deadlines, and supporting the permitting and contracts teams with proactive license management.
Primary Responsibilities License Management- Maintain comprehensive tracking system for all company licenses, including manufacturing/factory-built building licenses and installation licenses (modular and canopy).
- Monitor and manage all license renewal dates, ensuring timely submission of applications and fees.
- Coordinate with HR/Contracts team regarding qualifier changes that may impact license status.
- Research and initiate new license applications for state expansion as directed.
- Maintain organized digital and physical files of all license documentation.
- Complete and submit monthly construction and installation reports for all required states (Alabama, Arizona, Louisiana, Texas, and others as identified).
- Ensure monthly reports are filed even when no activity occurs in that state to maintain license standing.
- Track and meet all state-specific reporting deadlines and requirements.
- Respond to state agency inquiries and requests for documentation.
Record Keeping
- Develop and maintain boards (or similar systems) to track all license renewals, deadlines, and reporting requirements.
- Create and maintain compliance calendar with alerts for upcoming deadlines.
- Generate regular reports on license status, upcoming renewals, and compliance activities.
- Identify and document any lapsed licenses or compliance gaps requiring immediate attention.
- Serve as liaison between Permitting, Contracts, and Quality departments on licensing matters.
- Support Permitting Specialist by assuming full responsibility for manufacturing licensing and reporting.
- Coordinate with Contracts team on general contractor license management.
- Provide status updates and elevate issues requiring management attention.
- Identify opportunities to streamline licensing and compliance processes.
- Research best practices for multi-state license management.
- Recommend process improvements and system enhancements.
- Assist in developing standard operating procedures for compliance activities.
Education amp;
Experience:
- High school diploma or equivalent required;
Associate’s degree preferred. - 2+ years of administrative experience; experience with regulatory compliance, licensing, or government reporting preferred.
- Experience working with state agencies or navigating government websites/portals a plus.
- Exceptional organizational skills and attention to detail.
- Strong ability to manage multiple deadlines simultaneously without dropping balls.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
- Comfortable learning new software systems and online portals.
- Excellent written and verbal communication skills.
- Self-motivated with ability to work independently and follow through on tasks.
- Problem‑solving skills and resourcefulness in navigating bureaucratic processes.
- Ability to maintain confidentiality with sensitive business information.
