We are recruiting to fill a Senior Program Specialist position to perform highly responsible professional duties serving as a special assistant to the appointing authority. This position performs a variety of duties to assist with the management of the court and to facilitate timely and accurate processing of cases through the court system. May also assist the appointing authority with such tasks as preparation of the annual budget, court organization and special projects for the court.
The work of an employee in this position requires a high degree of attention to detail, the ability to manage multiple tasks simultaneously, and the ability to complete work within scheduled deadlines.
Perform supervisory and professional accounting duties to maintain accurate financial records for the organization. This role leads the accounting team, optimizes financial workflows, processes complex court and tax disbursements, and ensures robust general ledger management using Sage and SMC systems.
General Duties:- Supervise and train accounting staff and supervisors.
- Coordinate work assignments and daily team activities.
- Evaluate work processes to ensure optimal workflow efficiency.
- Assist in managing employee lifecycle processes including interviewing, hiring, and conducting performance evaluations.
- Review and approve timesheets and leave requests for supervisors and staff.
- Manage general ledger accounts within Sage, including creating new accounts and closing obsolete ones.
- Approve closed e-filing sessions and review daily e-filing settlement reports within SMC.
- Reconcile bank deposits and clear matching transactions in SMC.
- Monitor and clear open items reports regularly.
- Process fee voids to correct charge codes, disposition errors, and entry mistakes.
- Monitor the departmental mailbox and handle incoming accounting correspondence.
- Facilitate fund disbursements for garnishments and judge/director-approved reimbursements.
- Execute payout orders accurately and in compliance with court guidelines.
- Receipt tax offset payments into the SMC system.
- Generate and distribute the Monthly Municipal Division Summary Report to external stakeholders.
