Our client is looking for an organized, people-focused Receptionist / Administrative Assistant to be the welcoming face of their St. Louis office. In this role, you'll help ensure the office runs efficiently while creating a welcoming experience for visitors, clients, and team members. You'll support day-to-day office operations, assist with administrative needs, and contribute to a positive, professional workplace.
- Greet visitors with a friendly, professional, and welcoming approach, including offering refreshments when appropriate.
- Help maintain a clean, organized, and polished office environment, including keeping conference rooms meeting-ready.
- Answer and route overflow phone calls promptly and accurately.
- Process incoming mail and coordinate outgoing correspondence.
- Monitor office supply levels and partner with the Office Manager to keep the office well-stocked.
- Help coordinate office events that support a positive and connected team culture.
- Manage meeting logistics, including conference room scheduling, catering arrangements, and equipment setup.
- Coordinate maintenance and repairs for office equipment and facilities in partnership with the Office Manager.
- Provide administrative support such as printing , certificates, proposals, and other business documents.
- Issue certificates of insurance and evidence of property once properly licensed.
- Support various departments with special projects and additional administrative tasks as needed.
The ideal candidate is organized, dependable, professional, and comfortable managing multiple priorities in a busy office environment. You should enjoy interacting with people, solving problems, and taking initiative to keep things moving.
- Must currently hold, or be willing and able to obtain, a Missouri Insurance License.
- 1 to 2 years of insurance industry experience is a plus.
- Strong communication and interpersonal skills.
- Excellent organizational skills with the ability to manage multiple tasks.
- High attention to detail and a professional presence.
- Strong computer skills with the ability to quickly learn new software and systems.
