This is not a traditional administrative support role.It is an opportunity to serve as the operational right hand to a senior business leader, anticipating needs, improving how work gets done, and helping translate priorities into action.
The opportunityWe are seeking an experienced Executive Assistant who combines exceptional executive support with the instincts of a business operator. This person will create leverage for a senior leader and the broader team by managing professional and personal priorities, coordinating complex work, strengthening operating rhythms, and ensuring important initiatives move forward.
The right person is energized by being close to the work and trusted with the details. They can shift comfortably between a high-stakes meeting, a changing calendar, a process improvement, and a time-sensitive follow-up, always with discretion, composure, and a strong sense of ownership.
What you’ll do- Own and prioritize the leader’s professional and personal calendars, including meetings, calls, appointments, and overlapping commitments.
- Prepare the leader for meetings with clients and prospects, ensuring schedules, agendas, briefing materials, and follow-up plans are in place.
- Draft correspondence and manage professional communications—including email and voicemail follow-through—with responsiveness, discretion, and sound judgment.
- Anticipate needs, surface potential issues early, and resolve routine matters independently whenever possible.
- Translate goals and ideas into organized plans, timelines, owners, and next steps.
- Track key commitments and initiatives across the business, maintaining visibility and momentum from kickoff through completion.
- Track continuing education requirements and license renewals, coordinating deadlines and documentation.
- Build and improve practical systems, workflows, templates, educational materials, and operating routines that make the team more effective.
- Support special projects, personal responsibilities, and occasional errands as needed to create a seamless integration of the leader’s professional and personal commitments.
- Serve as a trusted liaison among the leader, colleagues, clients, and external contacts, representing the business with warmth and professionalism.
- Coordinate meetings, events, and end-to-end travel logistics—including flights, hotels, ground transportation, and schedule details—with a high degree of care.
- Help teams stay aligned by clarifying decisions, communicating next steps, and following through on outstanding items.
- Protect sensitive information and navigate confidential or nuanced situations with maturity and sound judgment.
- Five or more years of related experience, including experience as an executive or personal assistant supporting a senior executive, business owner, or leadership team.
- An associate’s or bachelor’s degree is preferred.
- A track record that extends beyond task execution—you notice what is needed, create a plan, and move work forward without waiting for step-by-step direction.
- Exceptional organization and prioritization skills, with the ability to manage multiple work streams and adapt when circumstances change.
- Strong written and verbal communication skills, including the ability to distill information and communicate on behalf of a leader.
- High emotional intelligence, discretion, and confidence working with a wide range of personalities and levels of seniority.
- Strong proficiency with Microsoft Office applications, particularly Outlook, Word, PowerPoint, and Excel, with a willingness to learn and improve the tools that support the business.
- Consistent reliability and availability to support a role in which priorities and schedules may shift.
- Experience in wealth management, financial services, professional services, a family office, or another high-touch client environment is helpful but not required.
