A Senior Deposit Operations Specialist plays a critical role in ensuring that the everyday movement of our clients’ money is accurate, timely, secure, and seamless, while serving as a senior resource for our Deposit Operations team. This position helps create the operational foundation that allows VNBT to deliver a higher level of service, from ACH and wire processing to reconciliations, digital banking administration, exception resolution, to fraud-related escalations.
This is a hands‑on role for an experienced banking operations professional who understands that the details matter. The ideal candidate brings sound judgment to complex issues, helps strengthen our controls and processes, mentors team members, and partners with leadership to continuously improve how we operate.
- Oversee daily item processing, including check capture, encoding exceptions, image quality/usability review, and return item processing.
- Research and resolve unposted, rejected, and exception items within established regulatory and internal time frames.
- Monitor and clear proof/capture exceptions, adjustments, and encoding errors; elevate unresolved items appropriately.
- Serve as the escalation point for complex item processing discrepancies referred by other operations staff.
- Perform daily reconciliation of general ledger, suspense, clearing, and settlement accounts, identifying and resolving out‑of‑balance conditions same‑day where possible.
- Investigate aged or unresolved suspense items, document root cause, and coordinate corrective entries with appropriate approval.
- Maintain reconciliation documentation and supporting work papers sufficient to withstand internal audit and OCC examination review.
- Process, review, and release ACH originations and receipts in accordance with NACHA Operating Rules and internal policy.
- Monitor ACH exception, return, and NOC (Notification of Change) queues; ensure timely and compliant handling.
- Process domestic and international outgoing/incoming wire transfers via Wire Xchange, ensuring adherence to dual control, callback verification, and OFAC screening requirements.
- Identify and elevate suspicious or high‑risk wire and ACH activity in coordination with BSA/AML and Fraud teams.
- Maintain and monitor Fedwire/ACH settlement, ensuring daily balancing of settlement accounts and timely resolution of discrepancies.
- Perform daily settlement of ATM, debit card, ACH, wire, and remote deposit capture activity, ensuring all outstanding items are cleared or appropriately researched.
- Reconcile correspondent bank and Federal Reserve settlement accounts; resolve variances timely.
- Coordinate with card processors and network partners on settlement discrepancies, chargebacks, and adjustment entries.
- Serve as system administrator for online banking platforms (including Bankjoy), managing user entitlements, enrollment issues, limit configuration, and escalated support requests.
