Senior Assistant Caseworker, Office Support

The Office of Child and Family Services is seeking a motivated and detail-oriented Senior Assistant Caseworker, Office Support, to help maintain efficient office operations within a child welfare setting. This position requires strong organizational skills, professionalism, and the ability to work in a fast-paced environment while supporting staff, clients, and community partners. The ideal candidate will be dependable, customer service focused, and capable of managing a variety of administrative responsibilities with accuracy and confidentiality.

Key Responsibilities

A Senior Assistant Caseworker, Office Support, serves as a clerical resource to professional child welfare social work staff by providing direct client and case related support services. Duties include taking and distributing meeting minutes, answering phones, greeting visitors and clients, completing Clear Search requests, assisting with supervised visits, transporting youth and clients, maintaining files and records, preparing court and client documentation, processing financial transactions, and assisting with additional office and case support functions as assigned.

They also perform the following tasks:

  • Assisting in covering the reception area
  • Greet and assist walk-in clients
  • Receive incoming telephone calls and directs them to the appropriate staff member.
  • Preparing letters and/or documentation for courts and/or clients.
  • Mailing certified mail to clients or sheriff; tracking in SAFE case system.
  • Creating, maintaining, scanning, and/or archiving files, reports, etc.
  • Retrieving files for workers, AGs, supervisors, and audits.
  • Assisting with 24-hour notifications and priors.
  • Maintaining the upkeep of office equipment.
  • Taking and transcribing minutes at meetings.
  • Assisting with completing Medicaid applications.
  • Responsible for processing payments, managing financial transactions and handling other related financial tasks as assigned.
  • Transportation of clients and children.
  • Supervise and monitor visits.
  • Other duties as assigned.
Qualifications
  • Experience managing reception areas, handling high-volume telephone systems, greeting walk-in clients, and maintaining office equipment.
  • Ability to create, scan, archive, and retrieve case files and reports, including tracking certified mail within the SAFE case system.
  • Proficiency in drafting court documentation, preparing legal letters, conducting Clear Search requests, and supporting AG/audit file retrieval.
  • Experience supervising and monitoring parent-child visits and providing transportation for youth and clients.
  • Competency in handling financial transactions, processing payments, and assisting clients with Medicaid applications.
  • Strong written and verbal communication skills for taking and transcribing meeting minutes and coordinating 24-hour notifications and prior checks.
  • Valid driver's license and reliable ability to transport clients, youth, and children safely to appointments, placements, or visits.
Preference
  • With previous and/or current experience working for the Utah Division of Child & Family Services (DCFS).
  • Has worked with the State's social welfare database system, SAFE.
  • Adobe Pro, Google and Microsoft experience.
  • Must have a current and valid Utah drivers license.
