Overview

The Bureau of Field Operations is responsible for the survey and certification process of health care facilities across the State of Florida. These surveys ensure that all state licensed, and federally certified health care facilities meet the established state and/or federal requirements and patients and residents receive safe, quality health care. Field Operations staff also ensure the safety of residents in health care facilities when emergencies such as natural disasters occur.

Responsibilities
  • Perform independent work handling the daily administrative and operational functions under the supervision of the Field Office Manager.
  • Handle assignments that require special research, coordination within the office, and confidentiality when necessary.
  • Enter facility inspections into ASPEN and AEM.
  • Review, correct and ensure accurate database entries supporting the licensure and certification programs.
  • Track draft survey kits and prepare kits for supervisory review prior to mailing completed survey reports to providers.
  • Complete the end‑to‑end process including entry into VERSA, documenting receipt of a plan of correction from providers, processing survey kits for certification and state licensure surveys, and preparing completed packets and scans into Laserfiche for uploading in Central Office.
  • Compose and prepare correspondence regarding regulation of facilities and other licensees.
  • Assist and serve as backup to the personnel liaison.
  • Implement personnel policies and procedures as they relate to field office operations.
  • Assist field office staff with administrative/human‑resources related questions.
  • Prepare and submit hire packages, separation paperwork, position advertisements, and update position descriptions as needed.
  • Ensure required documentation is collected and submitted for processing, schedule interviews, and keep all field office staff contact information updated in personnel files and COOP records.
  • Maintain an efficient filing system for both electronic and hard‑copy documentation related to personnel files.
  • Periodically review files for purging, archiving, electronic scanning/storing, and maintain other controls as needed.
  • Coordinate personnel advertisements through People First, arrange interview schedules for supervisory review of potential candidates, and submit hiring material according to policy.
  • Prepare and submit electronic Personnel Action Requests (ePARs) for the area office and handle other confidential correspondence.
  • Complete general office duties, gather information for public records requests, and answer multi‑line phone calls.
  • Arrange purchasing of office supplies through My Florida Market Place , obtain maintenance contracts for office equipment for comparison and supervisory review.
  • Submit purchasing data timely and periodically complete required inventory of equipment as directed by policy.
  • Perform other duties as assigned.

This position will be filled at $1,336.92 biweekly and is non‑negotiable.

This position has been identified as mission essential.

The incumbent may be required to work during the weekend or on holidays. In addition, mission essential personnel will be required to work during disasters, to include but not limited to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency work may involve the incumbent working in another county or staffing location to assist other State Agencies with emergency work.

Emergency duties may include, but are limited to, responses to or threats involving any disaster or threat of disaster, man‑made or natural. A good attendance record is essential. The individual is expected to report to work daily and on time. Leave must be requested in advance except in emergency circumstances not under the employee’s control.
