Company Description Meridian Partners, Attorneys at Law, is a boutique law firm based in Clearwater/St. Petersburg (Feather Sound area), Florida, focused on real estate, lending, corporate, and transactional law. The firm has extensive experience with large-scale commercial and residential developments, as well as retail and commercial leasing. Practice areas also include commercial and residential condominiums, land use, zoning, and permitting, along with commercial loan originations, modifications, and workouts.
Team members work in an in-person, detail-oriented, collaborative environment supporting complex, high-value transactions.
Role Description The Administrative Assistant/Closing Assistant is a full-time, on-site position located in Clearwater, FL. This role supports two attorneys and two paralegals with all aspects of real estate and lending transactions, including preparing and organizing closing files, coordinating escrow documentation, and maintaining accurate records. Daily responsibilities include managing calendars, scheduling closings, answering phones, routing calls, and providing responsive client service.
The position involves drafting and proofreading routine correspondence and basic transaction documents, collecting and tracking required information from clients, lenders, and title companies, and ensuring that closing checklists and timelines are followed. The Administrative Assistant/Closing Assistant also assists with inventory, document scanning and filing/storage, and general office support to help maintain efficient operations.
Qualifications
- Strong escrow and closings knowledge, including handling closing files, reviewing settlement statements, and supporting real estate and lending transactions.
- Excellent communication and customer service skills, with the ability to interact professionally with clients, lenders, and internal team members.
- Professional phone etiquette, including managing multi-line phone systems, screening calls, and providing clear, courteous information.
- High level of organization and attention to detail, with the ability to manage multiple deadlines and maintain accurate documentation.
- Proficiency with office software (such as Microsoft Office and PDF tools) and basic data entry skills.
- Ability to work on-site full time in Clearwater, FL, and collaborate effectively in a fast-paced legal environment.
- Prior experience in a law firm, title company, or real estate closing environment is preferred but not required.
- High school diploma or equivalent required; additional education or training in legal administration, real estate, or business is a plus.
