The Lead Patient Care Coordinator oversees daily front desk operations, supports and mentors administrative staff, and ensures an efficient, compassionate patient experience from check-in to check-out. This role serves as the bridge between patients, providers, and administrative systems to keep clinic operations running smoothly.

Key Responsibilities
  • Lead and oversee daily front office operations, ensuring efficient workflow, scheduling, and patient flow.
  • Ensure a welcoming, compassionate patient experience and address concerns with empathy and professionalism.
  • Supervise, train, and support front office team members, fostering a professional environment.
  • Manage patient records, scheduling, and HIPAA‑compliant data entry using Dentrix.
  • Coordinate referrals, lab cases, treatment plans, and post‑operative processes.
  • Review staffing schedules in advance to identify coverage needs and coordinate temporary staffing support as necessary.
  • Maintain office organization, supplies, and adherence to policies and procedures.
  • Support reporting, patient surveys, testimonials, and overall program impact initiatives.
  • Communicate effectively with staff, volunteers, and external partners to support clinic operations.

  • Knowledge of dental terminology and administrative workflows required.

  • Experience with Dentrix or similar dental software required.
Experience & Qualifications
  • High school diploma or equivalent (required).
  • Minimum 3-5 years of administrative or dental office experience.
  • Experience working with Dentrix (required).
  • Prior leadership or supervisory experience.
