Position Overview

We are seeking an organized, detail-oriented Permit Coordinator to manage the building permit process for our bathroom remodeling and construction projects. In this role, you will work on-site in our Tampa Bay office, collaborating with local building departments, construction teams, and clients to ensure timely permit approvals and strict compliance with Florida building codes. Key Responsibilities
  • Permit Application Management
    • Prepare and submit all required permit applications and paperwork to the appropriate city/county offices (e.g., Tampa, St. Petersburg, Clearwater). Ensure applications include all necessary documentation (plans, forms, fees) and meet local regulations. Assist with notarizing documents (if certified) or coordinate notary services as required.
    • Collaborate with construction managers and design teams to gather the necessary documents (drawings, product approvals, etc.). Communicate permit status and expected timelines to ensure remodeling projects stay on schedule.
    • Provide updates to team members and, when needed, to homeowners or clients regarding permit status. Answer questions, troubleshoot permit‑related issues, and maintain positive relationships with all stakeholders.
  • Installation Oversight
    • Direct and supervise installation teams, ensuring they understand daily job assignments and objectives.
    • Collaborate closely with Production Manager, Sales Managers, and Installers to resolve scheduling or on‑the‑job challenges.
    • Develop daily/weekly installation schedules, adjusting as needed to meet customer deadlines.
    • Operation experience including ordering materials and checking inventory.
  • Purchasing & Materials Coordination
    • Review sales work orders and identify all materials needed for upcoming jobs.
    • Create and submit purchase orders to vendors.
    • Track orders and shipments from purchase to warehouse delivery.
    • Communicate with suppliers to confirm availability, lead times, and delivery schedules.
    • Coordinate with Accounting for purchase approvals.
    • Resolve order issues, shortages, damaged materials, and delivery delays quickly.
  • Inventory & Warehouse Support
    • Monitor inventory levels and help prevent shortages or overstock.
    • Plan material needs based on installation schedules.
    • Process pick tickets and ensure installers are fully staged for the day.
    • Manage returns, claims, and defective material reporting.
    • Help keep the warehouse organized, safe, and efficient.
  • Customer Service
    • Conduct welcome calls with new customers.
    • Answer customer calls about service issues and enter notes, status updates, and resolutions in the CRM.
Qualifications
  • Experience: 1–3 years of experience in permit coordination, construction operation, or permitting (Florida experience is highly preferred).
  • Education: High school diploma or GED required; some college or a degree in a related field (e.g., Construction Management) is a plus.

    Familiarity with Florida Building Codes and local Tampa Bay permitting processes. Strong organizational, multi‑tasking, and communication skills. Proficiency with Microsoft Office (Word, Excel, Outlook). Experience with online permitting portals is a plus.
