Church Administrator
Pathway Level: Director

Time Investment: > 40 hours
Purpose Statement: The Church Administrator plays a pivotal role in ensuring the smooth operation and management of all administrative, financial, and operational aspects of the church across all campuses. The Church Administrator will be responsible for overseeing the administration of the organization, will work closely with the finance and facilities teams, and will provide leadership for long‑range planning and construction. As such, the Church Administrator will model spiritual maturity, integrity, and a servant‑leader attitude consistent with the mission, vision, and values of Calvary Church.
FinancialAdministration
- Work with the CFO in the development of the annual church budget by establishing the process and presenting the final report to the Finance Committee.
- Analyze budget to forecast and project for campus operations and growth.
- Ensure that the financial management of the church is in accordance with sound financial principles.
- Ensure safety, security and reporting of all tithes, offerings, and contributions to the church.
- Prepare for and review the church’s annual audit process.
- Review and report on financial trends to the Executive Pastor.
- Advise the Executive Pastor in the areas of church financial operations, personnel management, properties, and church building and renovation projects.
- Lead monthly Finance Committee meetings to review and discuss all church financial operations.
- Maintain the church’s banking relationships, including account management, cash flow, and loan coordination.
- Ensure all tax filings and legal compliance matters are handled accurately and promptly.
- Proficiency in GAAP standards, advanced Excel, and accounting software.
- Oversee the Human Resources (HR) department to ensure that proper guidelines are followed regarding employee training, supervision, and compliance with all pertinent laws and church policies.
- Review church benefit programs including health insurance and retirement plans, making recommendations to the Executive Pastor when appropriate.
- Update the Employee Handbook annually, ensuring that the personnel policies of the church are accurate and current.
- Implement and enforce efficient administrative systems, procedures, and best practices to improve the church’s organizational effectiveness.
- Collect appropriate data, offer analysis, and, in consultation with the Personnel Committee, make recommendations to the Executive Pastor as needed regarding pay and benefits for staff.
- Monitor and review job descriptions of all employees, ensuring they are accurate and current.
- Oversee the Membership Resource Ministry to ensure the overall health, integration, and visionary use of the church’s chosen Church Management Software (Pushpay).
- Ensure system integrity of the church’s chosen software and maintain updated records of church membership and compliance with policies and procedures.
- Create and maintain a Standard Operations Manual which includes routine procedures and Calvary policies across all ministry departments.
- Oversee the day-to-day operations of church facilities at all campuses, including maintenance, safety, and security.
- Troubleshoot any problems that may arise in the management and usage of the church’s facilities.
- Manage vendor relationships including cleaning, landscaping, and technical support.
- Develop and maintain a long-term plan for facility upgrades and maintenance schedules.
- Work with the Properties Committee to review ongoing facility needs, upcoming capital projects, and advance planning regarding the church’s facilities across campuses.
- Maintain Outside Usage Policies for the church’s facilities and grounds.
- Develop and maintain a rotational maintenance program that keeps the church’s facilities up-to-date with current codes, cleanliness, and functionality.
