Necessary Knowledge, Skills, and Abilities:
- Knowledge of basic recordkeeping, filing, data entry, and document management practices
- Knowledge of business English, spelling, grammar, and professional communication standards
- Knowledge of basic cash handling, purchasing, invoice processing, and reconciliation procedures
- Familiarity with municipal services, sanitation operations, utility services, or related public service environments preferred
- Familiarity with computer software and business systems used for tracking, reporting, and communication
- Skilled in organization and time management
- Skilled in problem-solving and critical thinking
- Skill in providing courteous and professional customer service to employees, residents, vendors, and the public
- Skill in verbal and written communication, including the ability to explain information clearly and professionally
- Skill in organizing work, maintaining records, and managing multiple assignments with attention to detail
- Ability to exercise discretion and maintain confidentiality
- Ability to learn departmental policies, procedures, ordinances, and operational practices
- Ability to maintain accurate records and enter data into software systems with a reasonable degree of accuracy
- Ability to establish and maintain effective working relationships with coworkers, supervisors, other departments, and the public
- Ability to handle customer concerns and respond to questions in a professional and helpful manner
- Ability to work independently, exercise good judgment, and complete assignments with minimal supervision
- Ability to adapt to changing priorities, operational needs, and interruptions in a fast-paced environment
- Ability to independently manage assigned work and use initiative and sound judgment to resolve routine issues within established guidelines and develop solutions to more complex challenges
Education and Experience:
Any combination of education and experience that provides the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications is:
High school diploma or equivalent, supplemented by relevant coursework, and three (3) years of secretarial experience
Certificates and Licenses
Required:
A valid Class C Texas driver's license and the ability to maintain a satisfactory driving record
Required to complete assigned Public Information training and any other mandatory training in accordance with City policies and established deadlines
