General Summary

Performs specialized clerical work for the County courts system. Work involves processing all documents, files and judicial orders pertaining to civil, probate, family law, juvenile, misdemeanor criminal court proceedings. Employee is responsible for utilizing computer-driven data entry equipment to prepare and modify files and for answering the phones and assisting the general public, receiving payment for court fees and attending County Court At Law hearings and jury trials.

Duties assigned to employees in this job title may vary according to division of workload and the needs of the 's office.

Essential Duties & Responsibilities
  • Reviews and processes filings from the e-filing system into the case management program and processes payment of fees for probate, civil, and family law cases.
  • Files and processes juvenile, criminal misdemeanor and traffic appeal cases.
  • Prepares for and attends court hearings and jury trials and dockets court proceedings.
  • Coordinates with various court officials, law enforcement officials, attorneys, and a variety of agencies regarding case information and status in Court At Law docket related cases.
  • Maintains and manages defendant’s payment plans and issues notices and warrants as required.
  • Receives and responds to inquiries via telephone, fax and in person.
  • Utilizes computerized data entry equipment and various word processing, spreadsheet and/or file maintenance programs to enter, store and/or retrieve information as requested or otherwise necessary.
  • Ensures and verifies that all exhibits admitted in court are docketed, releases exhibits as needed for court trial or per written request by case party. Clerk retains exhibits for the required retention period in Exhibit Room.
  • Upon expiration of retention period, prepares necessary process for return or destruction of exhibits.
  • Initiates and processes requisitions for office equipment and supplies.
  • Scans and images documents as required and proofs data entry of documents.
  • Manages and maintains the office of Commissioner’s Court Records. Attends all Commissioners Court meetings. Records and documents each meeting. Interprets the intent of motions and orders to compose formal Court Minutes. Transcribe all proceedings for permanent historical record, as well as edit, proof, and format into Minute format.
  • Performs other related duties of a similar nature and level as assigned.
  • Complies with safety regulations, procedures, protocol and wear personal protective gear if required.
Minimum Qualifications

Education and Experience High School diploma or equivalent, with 1 to 3 years related experience. Combination of education and experience sufficient to successfully perform the essential functions listed above can be substituted.

  • Develop and write reports, policies, and correspondence.
  • Effectively present information and respond to questions from local citizens, visitors and personnel.

  • Operate standard office equipment, such as computer keyboards and monitors, copiers, scanners, and telephone
  • Use (or learn to use) computer software and systems applicable to the position

  • Establish and maintain constructive and cooperative interpersonal relationships with staff, peers, supervisors, or managers in the work unit and other departments, as well as with staff of outside entities and other individuals, as applicable to the essential duties and responsibilities
