JOB SUMMARY:

Under the supervision of the office manager, this position is responsible for coordinating and facilitating all medical front desk activities, as well as general office duties to support the efficient and effective delivery of health care services to clients, including patient registration, scheduling, insurance verification, referrals, and revenue cycle support. The role supports clinical operations and sponsored programs to ensure safe, efficient care delivery.

Performs other duties as assigned.

JOB DUTIES:

20% - Essential - Client Support & Front Desk Services:
Delivers exceptional customer service to patients, visitors, and community partners by maintaining a welcoming, professional, and culturally sensitive environment. Performs patient registration, check-in/check-out, appointment scheduling, and general front-line support with a high degree of accuracy and attention to detail. Provides clear communication and helps patients navigate services, directing questions and concerns appropriately. Maintains strict confidentiality of health information in compliance with HIPAA and organizational policies, ensuring firm understanding of available services, provider scope of practice, program guidelines, and reporting requirements.

Effectively manages difficult interactions, demonstrating calm, respectful, and solutions-focused communication. Contributes to outreach activities and provides language support when qualified. 20% - Essential - Administrative & Scheduling Support:
Provides comprehensive administrative support to ensure smooth daily operations of the clinic and mobile health unit(s). Creates and maintains provider and clinic schedule templates; manages appointments; and ensures accuracy of data within patient management systems and the electronic health record (EHR). Prepares reports, correspondence, forms, manuals, meeting minutes, and other documents as needed. Supports leadership with administrative tasks including supply ordering, drafting fliers or web content, and contributing to social media posts as appropriate.

Manages phones, mail, and other office workflows to support timely and efficient clinic operations. 20% - Essential - Fiscal & Revenue Cycle Support:

Ensures accurate and complete patient registration, including demographic, payor, and guarantor information in the EHR. Verifies insurance and payor sources at scheduling and check-in and confidently collects required co-pays, self-pay fees, and outstanding balances at the time of service. Establishes payment plans in accordance with organizational guidelines and clearly explains financial policies to patients. Prepares and reconciles daily revenue reports, processes deposits, and completes bank transports.

Accurately maintains financial documentation and assists with charge entry, corrections, denial management, and third-party billing processes in compliance with institutional requirements. 20% - Essential - Inventory & Supply Management:
Supports clinical operations by coordinating and managing administrative aspects of inventory. Works closely with clinical staff to track supply usage and identify when items need replenishment to prevent shortages. Submits purchase orders, monitors deliveries, and ensures proper documentation in compliance with organizational and CU purchasing policies.
