Job Summary
The Accounts Receivable Specialist is responsible for supporting the billing and accounts receivable functions through accurate invoice generation, customer account management, and coordination with internal teams. This is a hybrid position based out of our Cleveland office.
Essential Functions- Prepare, issue, and verify accurate customer invoices.
- Contact customers with delinquent accounts via phone, mail or email and track payment statuses.
- Maintain accurate records of customer accounts, invoices, and outstanding balances.
- Respond to customer billing inquiries, resolve discrepancies, and communicate payment reminders.
- Update shared accounting folders and documentation to reflect completed billing activities.
- Perform other duties as assigned.
- Experience using Quick Books.
- Prior billing or accounting experience.
- Proficiency in Microsoft Excel.
- Strong written and verbal communication skills.
- Ability to organize, prioritize tasks, and follow established procedures.
The Accounts Receivable Specialist position is based in a professional office environment and requires consistent on-site presence. The role involves extended periods of sitting at a desk, using a computer, and participating in meetings both in person and virtually. The position requires the ability to work at a computer workstation for the majority of the workday, move between offices or meeting rooms, and climb stairs to access the office area.
Occasional lifting and carrying files or office supplies weighing up to 20 pounds may be required. Clear and effective communication is necessary in typical office settings, which may range from quiet, individualized work spaces to collaborative team environments. The standard work schedule is Monday through Friday, from 8:00 a.m. to 5:00 p.m., with additional hours, including evenings or weekends, as needed to meet reporting deadlines, support audits, or address time-sensitive business needs.
