Job Summary:

The Accounting Administrative Assistant ensures day-to-day tasks of the department are met. The Accounting Administrative Assistant is responsible for knowing, understanding, and upholding company policies and procedures while also ensuring we remain compliant with the most current laws, regulations, and confidentiality policies.

Accountabilities:

The Accounting Administrative Assistant will be accountable for successfully executing the following responsibilities:

Provide administrative support for the Financial Department (A/R, A/P for all companies).A/R duties include accurately applying payments, processing bank deposits, follow up with outstanding balances with customers as necessary, etc.

A/P duties include accurately processing invoices, Paying invoices/vendors, etc.

Responsible for utility reconciliation and payments for all companies.

Work daily with accounting software, Microsoft Office Suite, and any other related software.

Communicate with vendors and customers when needed.

Establish and maintain good communications and teamwork with fellow employees.

Maintain company files and databases.

Manage inventory by placing orders when necessary.

A variety of other related duties/special projects as requested.

Follow all federal, state, and private regulations.

Uphold the highest standards of compliance and confidentiality.

Complete all tasks and assignments by agreed upon deadline.

All deadlines are met Accuracy of financial record

Contribute to processes that increase departmental efficiency and effectiveness

Ensure communication and supporting documents are sent to respective parties in a timely manner; generally, all communications should be responded to and addressed within 24 hours

Qualifications

Required:

1-2 years in a similar financial role or related experience

Experience/Knowledge

Required:

Good organizational and time-management skills

An aptitude for quick learning, critical thinking, and problem solving

Good understanding of Microsoft Excel Familiarity with Yardi and Payscan Software preferred.

Physical Requirements:

Candidates must meet physical requirements to effectively perform job responsibilities, which includes frequent standing, walking, sitting, reaching with hands and arms, and lifting up to fifteen pounds.
