Payroll Benefits Administrator

Seeking an experienced Payroll & Benefits Administrator to oversee payroll operations and employee benefits administration within a multi‑state organization. This role is responsible for ensuring payroll accuracy, regulatory compliance, system integrity, and effective benefits administration while serving as the internal subject matter expert for payroll‑related processes.

This person should bring strong knowledge of multi‑state payroll, payroll tax compliance, benefits administration, ADP Workforce Now, and advanced Excel skills.

Payroll Administration Responsibilities
  • Administer end‑to‑end payroll processing for a multi‑state workforce while ensuring accuracy and compliance.
  • Manage payroll‑related activities including earnings, deductions, commissions, bonuses, garnishments, tax with holdings, and other payroll adjustments.
  • Research, interpret, and apply federal, state, and local payroll regulations to maintain compliance with applicable laws.
  • Investigate and resolve complex payroll discrepancies, tax issues, and employee payroll inquiries.
  • Maintain payroll records and employee data within HRIS and payroll platforms.
  • Perform payroll audits, reconciliations, and validation procedures to ensure data integrity and internal control compliance.
  • Administer and maintain timekeeping systems, including UKG Time and Attendance.
  • Research and resolve payroll tax notices while coordinating with federal, state, and local tax agencies as needed.
  • Complete payroll tax registrations for new operating jurisdictions.
  • Coordinate timely funding and reconciliation of 401(k) payroll contributions.
  • Execute year‑end payroll activities including W‑2 processing, tax reconciliations, and related reporting.
  • Maintain employee information including compensation, demographics, tax elections, direct deposit information, deductions, and timekeeping records.
  • Develop and generate custom reports within ADP Workforce Now to support Human Resources, Finance, and leadership reporting needs.
  • Establish, document, and continuously improve payroll procedures and internal controls.
  • Manage multiple priorities, projects, and deadlines while maintaining a high level of accuracy.
  • Provide additional payroll support and special projects as assigned.
Benefits Administration Responsibilities
  • Administer employee benefit programs and maintain accurate enrollment records.
  • Coordinate annual Open Enrollment activities and support benefit enrollment for newly hired employees.
  • Ensure benefits administration remains compliant with applicable federal and state regulations.
  • Analyze benefit‑related data using advanced Excel functions, including Pivot Tables and VLOOKUPs.
  • Review and reconcile monthly carrier invoices to ensure billing accuracy.
  • Prepare required benefit‑related reports and maintain compliance documentation.
  • Coordinate annual ACA reporting, including preparation and review of Forms 1094 and 1095.
  • Maintain carrier integrations and system connectivity within ADP Workforce Now.
  • Serve as the primary point of contact for employee benefit questions, eligibility changes, enrollments, and life event updates.
  • Maintain employee benefit information across HRIS and insurance carrier portals.
  • Prepare documentation and supporting data for benefit audits, renewals, and compliance reviews.
  • Assist with additional benefits initiatives and projects as needed.
Requirements
  • 5+ years of experience supporting payroll and benefits administration in a multi‑state environment.
  • High school diploma or equivalent required; coursework or degree in Accounting, Finance, Business, or a related field is preferred.
  • Strong understanding of:
    • Multi‑state payroll processing
    • Payroll tax regulations
    • Wage and hour compliance
    • Payroll reconciliations
    • Benefits administration
  • Hands‑on experience with ADP Workforce Now, including custom reporting.
  • Experience administering UKG Time & Attendance or comparable timekeeping platforms.
  • Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, and complex spreadsheet analysis.
  • Strong analytical, organizational, and problem‑solving abilities.
  • Ability to manage confidential employee and payroll information with discretion.
  • Excellent verbal and written communication skills.
  • Certified Payroll Professional (CPP) certification and Professional in Human Resources (PHR) certification preferred.
  • Experience supporting payroll audits, compliance reporting, and process improvement initiatives preferred.
  • Knowledge of 401(k) administration and ACA compliance reporting preferred.
