Position: Office Manager New Ginn-Thompson School for Girls

Overview

ACCEL Schools is seeking a friendly, energetic and ethical School Office Manager to manage all office functions and act as the first point of contact for students, parents and the general public at Ginn-Thompson School for Girls in Cleveland, Ohio.

Ginn-Thompson School for Girls provides EK-11 grade students an opportunity for cultivating confidence, leadership and academic excellence in a nurturing, all-girls environment. The school is part of ACCEL Schools, serving K-12 students nationwide since 2014.

About the Opportunity

The School Office Manager reports to and works with the Principal to handle inquiries about the school, maintain accurate student records, assist with human resource needs, and fulfill clerical duties in full compliance with FERPA regulations.

Responsibilities
  • Collaborate with school leadership to meet goals, foster a welcoming, team-oriented atmosphere, and uphold company values.
  • Manage school-wide communications (phone, email, in-person) and greet/direct visitors and students to the office.
  • Implement registration, badging and visiting procedures for parents and guests.
  • Assist with creation and distribution of newsletters, surveys, and other notifications.
  • Support school events such as Parent Orientation, Open House, school outings and field trips.
  • Maintain a clean and welcoming environment.
  • Support enrollment goals and retention processes: participate in information sessions, create welcome packets and mailers, conduct tours and orientations, input data into systems, and obtain records for new enrollees.
  • Ensure compliance with federal, state, local and school record-keeping requirements: on-time attendance submissions, truancy steps, withdrawals, transcripts, and secure maintenance of student cumulative files; participate in annual record audits.
  • Provide administrative support: prepare reports, filing, mail handling, coordinating meetings/events, maintaining calendars, and inventory management.
  • Log and report issues related to office equipment, facilities, transportation and meal counts as applicable.
  • Ensure timely completion of human resources processes (e.g., I-9 verification, weekly time and attendance submissions, offboarding).
  • Attend school staff and committee meetings and participate in professional development.
  • Perform other duties as assigned.
Qualifications
  • Minimum two (2) years of office management experience.
  • High proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and ability to learn new computer programs.
  • Strong written and verbal communication skills.
  • Excellent organization and time management abilities.
  • Ability to work independently and as part of a team.
  • Professional, punctual and self-motivated; ability to handle confidential information.
  • Ability to lift 25 lbs and pass federal and state criminal background checks (FBI/BCI).
  • Experience in an educational setting is preferred.
