Faulkner, Hoffman & Phillips is seeking a motivated, organized and professional legal administrative assistant to join our Firm. The ideal candidate must be resourceful, efficient, a self-starter, able to multi-task with a high level of professionalism and discretion, and willing to take ownership for project results and project completion.

Duties/Responsibilities
  • Perform administrative functions for multiple attorneys requiring knowledge of the format, procedures, and legal terminology
  • Perform administrative functions for law firm administrator
  • Serve as primary contact for general administrative and visitor inquiries
  • Answer telephones; manage call screening, routing and messages
  • Perform clerical, administrative, and special projects, as assigned
  • Drafting demand letters, documents, correspondence, etc.
  • Ensure the office is well-maintained to provide a professional appearance
  • Ensure office supplies are sufficiently stocked and replenished
  • Document management and organization, both paper and electronic
  • Schedule appointments, depositions, conference calls, and various other appointments, including travel and company-related business
  • Order court reporters, and conference rooms, as needed
  • Handle all incoming and outgoing mail
  • Open new matters and close files as required by attorneys
Requirements
  • 3+ years’ experience working for a law firm in an administrative/paralegal capacity
  • Excellent interpersonal, verbal and written communication skills
  • Ability to be discreet and handle sensitive information and data appropriately
  • Dependable team player who works collaboratively and cooperatively with others

    Exhibit a high degree of initiative in managing and prioritizing multiple projects simultaneously
  • Must be detail-oriented
  • Knowledge of each local court’s rules and procedures, including electronic filings
  • Proficient with PC’s, Microsoft Office 365, and Adobe
  • Zoom conferencing experience a plus
  • Friendly and professional disposition
