Legal Administrator I/II
Job Summary:
Responsible for drafting, editing, and coordinating Board of Trustees Resolutions for the Sewer District. Reviews all Board and Committee meeting transcripts and creates meeting minutes. May serve as a liaison for the Legal department to internal and external stakeholders. Provides high‑level legal and administrative support by handling information requests, arranging conference calls, scheduling meetings, and verifying and processing legal invoices. Must maintain confidentiality and perform related duties of a similar nature as may be required.
FUNCTIONS Board and Committee Responsibilities
- Draft, edit, and coordinate Board of Trustees resolutions, exercising judgment to determine pertinent information.
- Review transcripts and recordings of Board, Committee, and Suburban Council of Governments meetings to independently draft minutes.
- Coordinate requests for a court reporter at public meetings.
- Utilize the document management system to maintain legal records and support department use.
- Maintain Board appointment schedules and ensure timely reminders to appointing authorities.
- Draft public meeting notices and ensure procedures are met for timely publication.
- Verify and process payment of invoices for the Legal department, including outside counsel invoices, maintaining all electronic files.
- Maintain a record of outside counsel expenditures and prepare biannual summaries for the Chief Legal Officer.
- Process check requests for payment on real estate transactions and assist Watershed Programs with property‑related invoices.
- Respond to letters and general correspondence appropriately.
- Provide timely and accurate support to all functions of the Legal department.
- Enter contracts and related data into the Sewer District’s document management system; route documents for signature.
- Organize and maintain documents and files, including retrieving historical archives from computer files.
- Collaborate with the Records Management Specialist to arrange delivery of legal documents and correspondence.
- Receive and screen communications to the CLO and Legal staff; determine priority messages.
- Maintain and coordinate the Legal department’s appointment schedules, activities, and calendars.
- Distribute information to various District departments and external contacts.
- Complete administrative projects and coordinate registrations for attorneys’ CLE seminars and conference attendance.
- Coordinate travel and expense reimbursements for Legal staff.
- Assist with mailers, meetings, tours, events, and common legal department coordination.
- Serve as backup to the Records Management Specialist and Senior Paralegal for certain tasks.
- Fulfill requests for information or reports; maintain departmental administrative records.
- Maintain confidentiality, disclosing information only when authorized or required.
- Perform duties of a similar nature as may be required.
- Facilitate and coordinate efforts for special projects assigned by management.
- Identify and communicate capacity for assigned projects, noting conflicts with high‑priority responsibilities.
- Perform other duties of a similar nature as may be required.
- Associate degree in Business Administration or closely related field.
- Equivalent combination of relevant education and experience may be substituted per the Education Equivalencies Policy.
- Two (2) years of administrative experience; legal‑environment experience required.
- Maintain confidentiality, disclosing information only when authorized.
- Effective written and verbal communication, organizational skills, and decision‑making abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Detail‑oriented, capable of managing large data volumes, maintaining comprehensive records, and organizing information.
- Strong project and time‑management skills; perform well in a fast‑paced environment.
- Analyze, communicate, comprehend, make decisions, interact, interpret, negotiate, organize, problem‑solve, and maintain resilience.
- Perform physical tasks including driving, reaching, sitting, standing, talking, typing, walking; occasional lifting up to 10 lbs.
- Visual demands: accommodation, color vision, near acuity; withstand faint to moderate noise exposure for 15 min or longer on a frequent basis.
Pay Range: USD, Commensurate with Experience — Legal Administrator I: $59,000 - $70,800;
Legal Administrator II: $65,482 - $81,854.
