Project Specialist - Accounts Payable

A Project Specialist is responsible for assisting with duties related to the completion of projects, programs, or initiatives for a City of Cleveland division or department. Serves as the specialist to the supervisor or manager of projects, programs, or initiatives. Provides administrative support, schedules meetings, and ensures deadlines are met. Assists in creating schedules, timelines, and maintaining project budgets. Provides reports, presentations, communications, and correspondence as required.
Performs other related duties as required.
Under administrative direction, is responsible for assisting with duties related to the completion of projects, programs, or initiatives for a City division or department. Serves as the specialist to the supervisor or manager of projects, programs or initiatives. Provides administrative support, schedules meetings, and ensures deadlines are met. Assists in creating schedules, timelines, and maintaining project budgets. Provides reports, presentations, communications, and correspondence as required.
Performs other related duties as required.
- Review and process vendor invoices to ensure proper approvals and accuracy, in accordance with City policies and procedures.
- Serve as a liaison between departments and vendors to respond to payment inquiries, resolve billing discrepancies, and ensure accurate and timely processing of invoices.
- Assist with vendor onboarding by ensuring required documentation is collected and maintained in accordance with City requirements.
- Maintain organized and audit‑ready financial records, including invoices, payment documentation, and vendor files, in compliance with City policies and public records requirements.
- Provide administrative and financial support to the department and perform other related duties as assigned.

- Strong critical thinking skills and the ability to exercise sound judgement.
- Proficient in Microsoft Office Suite as well as other accounting software programs, including Excel.
- Ability to operate related office equipment, such as computers, copiers, scanners, and phone system.
- Ability to identify discrepancies and proactively resolve them.
- Excellent organizational skills and attention to detail.
High School Diploma or GED required. Associate or Bachelor’s Degree from an accredited two‑year or four‑year college or university in Business or Public Administration, Social Sciences, or closely related field preferred. One year of full‑time paid experience in government or private industry required. Substitution: completion of a fellowship program, apprentice program, or other similar program; or completion of a certification program, i.e., Project Management, Human Resources, etc.
Must be able to lift and carry thirty (30) pounds. Valid State of Ohio Driver’s License or State‑issued identification card. Must be proficient utilizing all Microsoft Office products.
High School Diploma or GED required. Associate or bachelor’s degree from an accredited two‑year or four‑year college or university in Business or Public Administration, Social Sciences, or closely related field preferred. Two years of full‑time paid experience in government or private industry required. Must be able to lift and carry thirty (30) pounds.
