Salary/Payrate: $60K-$75K annually and AWESOME benefits!!!
Work Environment: Onsite with 2 days WFH per month

JOB DESCRIPTION
The Billing & Administrative Coordinator supports the daily operations of a multi-practice law firm by managing legal billing functions and providing comprehensive administrative support. This role requires strong attention to detail, professionalism, discretion, and the ability to work in a fast-paced legal environment while supporting multiple attorneys and practice areas.
Overview ResponsibilitiesBilling & Financial Administration
- Prepare, review, and process client invoices in accordance with attorney time entries and firm billing guidelines
- Manage billing cycles, including monthly invoicing, adjustments, write-ups, and write-downs
- Respond to client billing inquiries professionally and timely
- Track accounts receivable and follow up on outstanding balances
- Coordinate with attorneys regarding billing accuracy and compliance
- Maintain accurate billing records and reports
Administrative & Office Support when needed
- Provide administrative support to attorneys and legal staff across multiple practice areas
- Assist with document preparation, formatting, and filing (electronic and physical)
- Maintain client billing files in compliance with firm policies and confidentiality standards
- Support internal administrative processes as needed
Compliance & Professional Standards
- Maintain strict confidentiality of client and firm information
- Ensure billing and administrative processes comply with firm policies and legal ethics requirements
- Assist with audits, reporting, and internal reviews as requested
- Associate degree or equivalent work experience required; legal or business administration preferred
- 2+ years of billing, administrative, or legal office experience (law firm experience strongly preferred)
- Familiarity with legal billing practices, timekeeping, and invoicing
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Experience with legal billing or practice management software (e.g., Clio, Centerbase) a plus
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and meet deadlines
- Professional demeanor with attorneys, clients, and staff
- Strong problem-solving skills and initiative
- Ability to work independently and collaboratively
